The Cost of Idling

We all know that idling is very costly, but is there an actual dollar amount attached to letting a car sit with the engine on for extended periods of time? We found out in a recent case study that idling can cost up to $20,000 per year in fuel for companies with a fleet of vehicles. That’s a lot of money, but if your business operates in New York City, idling could cost you nearly that much in an afternoon. Plus, citizens could be motivated to report when your vehicles are idling.

New York City recently enacted legislation that would pay citizens up to 50 percent of the summons revenue for turning in vehicles in violation of idling. According to an article in the New York Post, the bill stipulates that citizens be trained by the Department of Environmental Protection in order to profit for their help. Citizens would then need video evidence of a vehicle idling to receive compensation.

Under the proposed bill a first-time violation is punishable by warning, but second offenses would be between $350 and $1,500 and subsequent fines could cost as much as $2,000 for vehicles.

However, those fines are nothing compared to the Heavy Duty Vehicle Idling Laws currently in place in the state of New York. Heavy-duty vehicles, including diesel trucks and buses, can be fined from $500 to $18,000 in the case of a first violation after five minutes of idling.

Those are some shocking numbers for fleet owners knowing that one vehicle’s fines from idling can cost nearly as much as an entire fleet may waste in fuel in a year due to idling. With that much money on the line can your company afford to not have a solution for idling?

We can definitely help save money wasted on idling. With our solutions, companies can set up alerts that reports idling in vehicles to stop the habit before it becomes an issue.

These laws in New York are meant to help the economy and your company can contribute by tracking idling and cutting the engine before your business is forced to cut a check. Idling can cost $20,000 a year in fuel and nearly that much per idling offense, now potentially with citizens incentivized to report violations. Don’t let idling cost your company a load of money.

3 Ways to Make Your Commutes From Work Less Stressful

Those dreaded red brake lights illuminating the interstate for miles on end at 5 p.m. every day are something that no one looks forward to. As heavy rush-hour traffic can be especially stressful after having just completed a full eight hours at the office, it’s important to do whatever you can to experience smoother trips home from work. Here are three tips to make those lengthy commutes from the office a little more manageable.

Listen to audio

Whether it’s music, a podcast, or the radio, having something to listen to while you’re on your way home can be immensely beneficial. Education-based audio may help you pass lengthy bouts of idle time by teaching you new things or helping you become a more well-rounded person. However, there’s still something to be said about relaxation and entertainment, and through avenues like music, you can experience both while driving home safely.

Optimize your schedule

Are there particular times of the day where you regularly notice traffic to be at its worst?  If so, it’ll help to tailor your daily schedule outside of the office a bit more toward avoiding driving far distances during those times. Choosing to meet a friend for dinner nearby after work or exercising at a gym close to your job are just two examples of activities that can help you dodge the worst of rush-hour’s snails-pace congestion, while also being beneficial to your well-being. It may not seem like that big of a difference at face value, but even delaying your usual departure home from the office by an additional 30 minutes to work out or eat first could end up saving you an hour of time that would’ve been spent in bumper-to-bumper traffic.

Find better routes

If a backroad route is longer mileage-wise than a commute home via the interstate is, consider it as an option if it offers less congestion. Even still, if that route takes you five minutes longer to get home when compared to traveling on a jammed highway, it may be less stressful for you to have a drive where there’s as little stop-and-go as possible.

Through these tips, we hope that you’ll be able to experience safer, more manageable commutes during the work week. For solutions to the traffic inefficiencies that your mobile workforce may be regularly dealing with, see how Actsoft can assist.

3 Ways Actsoft Solutions Provide Return on Investment

At Actsoft, our primary goal is to build solutions that offer your business the most possible return on investment. In engineering our Encore solution, we’ve managed to integrate multiple different features within a single application, providing mobile workforces like yours with necessary tools to gain maximum ROI. Here are three of the most important ways that our software products can help you see positive results on your bottom line.

Mileage

For companies that distribute fleet vehicles to their mobile employees, managing miles on the job can be a challenging task. By providing near real-time locations of business vehicles, as well as route histories, our solutions can help keep employee accountability strong when it comes to what your staff are using their work vehicles for. If even just 10 employees out of a team of 50 are taking the scenic route to a frequented job site, adding an extra three miles to each of their daily trips in the process, that can add up significantly. With an average gasoline price per gallon of $2.20, the total annual loss comes to almost $1,650 on fuel alone.

Using our GPS-enabled solutions, you can easily identify the most efficient routes for your mobile employees to take daily and verify that they’re following designated paths. Check out our interactive ROI calculator to see specific, achievable savings that your organization could net from reduced fuel expenditure.

Data entry

Data entry is a tedious task that, while necessary, can chew up excessive amounts of time during the course of a workday. Thanks to Actsoft’s Wireless Forms and integration, however, your team can save valuable resources by eliminating it entirely. Instead of having to translate paperwork to digital storage, use Wireless Forms to input data directly from the field and seamlessly integrate it with a number of third-party systems.

Efficiency-driven revenue

Our solution’s Timekeeping feature helps to reduce unnecessary drive time for mobile employees by allowing them to clock in and out remotely from a smartphone or tablet. Instead of having to drive to and from the office to register time-punches, your mobile employees can use that extra saved time to accomplish more tasks, driving revenue even higher for your business.

Return on investment is something that we specialize in at Actsoft. Use our solutions to generate ROI by discovering more about your mobile workforce’s daily operations.

Tips for Doing More With Less

Efficiency is key. It’s a message we’ve preached for years at Actsoft. Getting the job done with the most effective use of manpower in a timely manner will save money. Plain and simple.

Efficiency is important to all companies and businesses, but as time progresses, it will become an even more important part of the trucking industry.

Why? In recent years, there has been a shortage of truck drivers and the number may continue to decline. With a decrease in manpower on the road, it’s crucial that each minute is used in getting the job done and essential that drivers are given the tools they need to succeed on the roadways. After all, the workload for trucking companies isn’t getting any lighter.

With our suite of solutions, both management and drivers will find their days made much easier.

Our tools do everything a management team will need. It will keep track of vehicles with GPS, view driver activity, and improve routing. All the tools necessary to compile reports and have insight into a business’s fleet comes included.

It keeps drivers in mind, too. With it, they can use the route optimization feature to find the best possible path to completing the job and getting them off the roads. Spending less time on the road allows drivers more time to be home with their families. Benefiting the driver and the company, with happier employees.

With the number of truck drivers decreasing, it’s imperative that companies have all the tools necessary to get the job done. The need for truckers isn’t decreasing, so it’s even more important to be able to do more with less.

April Fools’ Day

Hopefully, no one got you too good this year. The unofficial holiday of pranksters passed with the shift of the calendar from March to April. Sometimes pranks are fun, like in this list Forbes put together to celebrate the day. Other times — not so much.

As fun as the spaghetti incident from that Forbes article may have been, with pranks there is the potential for an Orson Welles–style scaring. We’re sure the percentage of people who were fooled by Welles’ radio hoax didn’t appreciate the ruse then nearly as much as the rest of us who know of it today. Being deceived isn’t always a laughing matter, but that holds even truer when money is on the line.

A company with a fleet of vehicles certainly can’t afford to be deceived by what’s happening in the field. While Orson Welles’ radio performance of “War of the Worlds” may have caused panic among some of his listeners, the ramifications for a business can be much more costly. As we learned from Jeff Boone of Napa Auto Parts in Louisiana, a large fleet can waste as much as $20,000 a year in gas by idling. You can’t let yourself get fooled into wasting that much money.

When it comes to your business, a sure way to guard against being caught off guard is by having clear visibility into your company. With Actsoft, we can offer management the ability to track a fleet of vehicles with precision. It allows companies to plan the optimal routes for drivers and monitor vehicles on a map via GPS. Businesses can receive scheduled reports that let you know if users spend too much time idling, constantly go off route, clock in or out at undesired times, and if drivers are speeding. Knowing these metrics streamlines the efficiency of your business’s fleet.

A little prank here or there isn’t the worst thing in the world; no Martians have landed in New Jersey. However, it’s imperative to know exactly what is happening behind the scenes of your business or else risk being bamboozled by your bottom line, which is no laughing matter. Make sure your company is making the most of each day and running as efficiently as possible.

The Importance of Efficiency

Running a business these days is tough. With employees in and out of the office and resources to keep track of, there are a lot of moving parts in any industry. It’s important to stay on top of what’s going on inside and outside the office.

Being off by just a few facts here or there can snowball on a company. In one of our case studies, Jeff Boone and Paul Headley of Napa Auto Parts in Louisiana shared his experience with “the little things.” Headley said that the gas wasted in two minutes of idling equates to about the amount of gas from a mile of driving for their vehicles. Reducing that amount of wasted gas with Actsoft’s solutions reduced the store’s fuel usage by 10 percent, or about $20,000 a year as Boone estimated.

The numbers for each business will vary by size, how many vehicles there are, and other factors. The key is to eliminate the little things so they don’t balloon into bigger issues. When a car is left running money is sent straight out the exhaust pipe. But idling is not the only issue we’ve seen with companies. Time management is a big issue especially when companies work in collaboration with others, have to accommodate customers, and rely on information exchanged between the office and field.

Championing time management is a huge accomplishment of Actsoft. The Denver Transit Partners (DTP), a collaboration of several construction companies that came together on a mass transit railway system in Denver, had as many as 45 different paper forms to get through the day. Forms were filled out onsite, sent to the proper offices, reviewed, and finally sent back to the field just for a simple order to be executed. The DTP also had to keep track of the hours many different employees worked, which can be problematic in such a large operation. The construction managers of DTP started using Wireless Forms and one of the safety managers, Craig Clairmont, said using these forms saved about three hours of paper processing a day. Gathering all the needed information was streamlined for them and can do the same for many other businesses.

Even if Actsoft’s solutions can only save a business a few dollars here and there, it makes sense to try and take advantage of what you can as a business manager. It’s never an easy decision to make a change, but you can see what others have had to say about Actsoft in our case study library and in our video library. Accuracy matters in running a business, so make sure you know exactly what you need to run your business effectively.

The Importance of the Trucking Industry

The trucking industry is the backbone of the economy in the United States. With so much of the country’s goods transported across the U.S. in trucks, the industry is invaluable to the country. Nearly 70% of all the freight tonnage moved in the U.S. goes on trucks. This amounts to about 10.5 million tons moved each year, transported via some 3.5 million heavy-duty trucks that consume around 39 billion gallons of diesel fuel in the process. Needless to say, the trucking industry is a huge operation.

To keep America going the trucking industry needs everything to be reliable. Everything from the brakes to vehicle maintenance, knowing who’s behind the wheel of each vehicle to where each vehicle is at all time, is vital for all the fleet managers across the country to stay on top of. The industry calls for reliability in many different areas. We bring reliability to all different parts of a fleet.

With our solutions, company owners can set up maintenance alerts on vehicles. Having the ability to set up notifications for eliminates the guesswork for which ones need to be serviced and what specifically needs to be worked on. These alerts are a part of the reporting feature and can be included in a regular report emailed to management.

The alerts can be set up far in advance or created as needed, and they become even more helpful when used in conjunction with other alerts that keep management aware of driving behavior. Administration receives alerts when vehicles are excessively idling, speeding, hard accelerating or braking, in unauthorized locations, and if used off hours.

Knowing all the details of a vehicle’s usage helps decision-makers know if vehicle A should get a tire rotation, if vehicle B should be in line for a battery check, or if vehicle C needs some more coolant, all before the check-engine light comes on.

Our solutions do much more than just keep fleet owners on top of when their vehicles should be serviced. They provide a clear insight into the daily happenings within their fleet. They allow management to track the location of vehicles with GPS precision, set up alerts such as speeding and hard braking, and to know when a vehicle travels outside of a designated area. These notifications and metrics are put together in a report that can be viewed when needed or can be sent as a reoccurring report.

There are issues with fleets that even the best driver might let slip through the cracks, like idling, which can account for up to eight percent of fuel costs. For perspective, a truck that spends $70,000 a year on fuel is spending $5,600 of that on idling. Just ten seconds of idling uses more fuel than restarting the engine. Our solutions report idling to ensure every ounce of fuel is put toward getting the job done.

At Actsoft, we provide reliability throughout your fleet.

Snapshot: What’s Hot in Fleet Management

Are You Unlocking Your Fleet’s Potential?

With a deluge of “business optimization” software and technology on the market today, it’s often difficult to decide what makes the most sense for your company’s needs. According to a Markets and Markets Research report, the fleet management market is expected to grow at a rate of 15.8 percent by 2022.

This can lead to not making a decision at all, which can eventually cost your company thousands of wasted dollars and hours. Or worse, it could lead to you paying for the wrong software, which you won’t use, while wasting money and time on training.

The best advice today? Choose a service that has proven results in your industry and is offered by a reliable company that not only produce a competent product, but also has a solid support structure in place.

For fleet-based companies, who depend on the efficiency of drivers and vehicles to keep costs down while providing a good product, tracking software is essential — and, more to the point, the results of said software. Generally, what you’re going to find is increased efficiency, more transparency between the office and the field, and reduced liability. When drivers know they’re accountable for how they’re driving as well as where they’re driving, bad habits begin to change or else managers can work with drivers to change them.

One public transportation system in Texas, STAR Transit, cited Actsoft solutions as boosting their efficiency by 50 percent. The operations manager of STAR, Ashley Ando, said, “For our industry, we have to track a lot of information on our usage and vehicles. The … software replaces the need to have a person tracking the vehicle information manually, which ultimately increases our fleet team’s efficiency.”
