How Inefficient Quarterback Play is Similar to Poor Management

Quarterback is far and away the most important role one could have in the game of football, and it’s arguably the most essential position in all of sports. No matter what a football team’s offense does, nearly everything is channeled through its quarterback orchestrating efficiency on a routine basis. Elite signal callers are experts at managing multiple responsibilities when directing scoring drives, and tend to make their best plays during high-pressure situations, while thousands spectate.

Generational talents at quarterback, like the Green Bay Packers’ Aaron Rodgers, can make up for personnel deficiencies on their team by elevating the effectiveness of players around them, and using an extensive knowledge of various pre-snap coverages to audible out of bad plays before they even have a chance to develop. They’re more than capable of putting their team on their back and carrying it to victory during less-than-ideal situations, especially whenever not a lot of extra help is available.

In addition to being tasked with directing excellent passing attacks, NFL quarterbacks are typically anointed as the faces of billion-dollar franchises, entities that are just as much businesses as they are ball clubs. Signal callers at the professional level become highly marketed for jersey sales, advertisements, and other forms of revenue streams. Quarterbacks that struggle at the professional level, however, often times cripple their team by negating effective drives with costly turnovers, and it’s no secret why when they don’t receive nearly the same kinds of lucrative contracts and endorsement deals that the superstars do. The game and position is constantly changing, but one thing will always remain essential: a need for long-term efficiency.

In this respect, running a business is in a lot of ways similar to quarterbacking an NFL team. Without a foundation of efficient, low-mistake management, today’s companies aren’t able to sustain success. The same goes for any NFL offense that’s under the guidance of a franchise gunslinger.

The best NFL quarterbacks are proficient at making adjustments, based on what they’re seeing from an opposing defense in near real-time. Much like managing a company with mobile employees, good quarterbacks are also versatile leaders through efficient communication with their team members. Features of Actsoft solutions such as Dispatching help businesses communicate better on the fly, and relay important updates or changes in workflows to mobile employees quickly.

In recent years, most NFL teams are relying on a throw-first offensive strategy, which enhances the importance of having a competent player under center even more. Learn how Actsoft solutions can help you better quarterback your team, and build a more productive, versatile, and efficiently-managed business today.

How Fuel Efficiency Can Affect Your Bottom Line

When it comes to gas prices, unpredictability is an inevitability. Any number of factors can have a direct impact on the cost, causing it to dip or increase without much warning. Because of this, it’s important for fleet-based business owners to pay careful attention to the amount of fuel their drivers are consuming while behind the company wheel.

Of course, it doesn’t matter whether the cost per gallon is at an all-time low or skyrocketed to an all-time high; you should always be mandating that your drivers follow safe, efficient driving practices since, regardless of what the actual price is, you’ll be saving money. But it is especially important as gas prices are on the rise, since burning needlessly through excessive fuel also burns right through your bottom line on a much larger level.

This year, the current average cost for regular gas, according to AAA, is $2.84 per gallon, an increase of about $.36 from this time last year. This may not sound like a huge amount of money, but it adds up quickly. Let’s say you have a fleet of 10 light trucks in your business. According to the U.S. Department of Energy, the national average distance traveled by this type of vehicle is 11,712 miles per year. Add that to statistics from the Bureau of Transportation, which says these vehicles average about 22 miles per gallon. So that means, at the time this post was published, a business with a fleet of 10 light trucks spends an average of $15,119 each year, just on fuel alone.

Compare that to the price of gas in 2017, which was $2.46. If you’re running your business exactly the same this year as you did last year, you’re spending an additional $2,023 on fuel. If your fleet is fueled by diesel, the cost is even higher, since the cost per gallon rose by $.56 in the last year, and those trucks tend to travel significantly more miles per year.

All this being said, there are things that you can do to help make the most of the fuel you’re pumping into your fleet. Our software provides top-notch monitoring to help your drivers reduce the amount of fuel burned needlessly due to careless behavior.

Business owners can set up alerts to be informed whenever vehicles of theirs are left idling for an excessive amount of time. (That amount of time is determined by you.) If you leave your vehicle idling for 15 minutes, you’ve burned through about a quarter gallon of gas, just from standing still! Truth be told, if you know you’re going to be idling for more than 10 seconds, you’re better off killing the engine completely and restarting when you’re ready to drive again, since that uses significantly less fuel.

Additionally, vehicle tracking lets dispatchers back at the home office view drivers’ exact locations, plus review live traffic updates, so when new job orders come in, they can assign them to the worker that makes the most sense, and help them plan the most efficient route.

While you’ll never be able to control the dips and spikes in fuel cost, the one thing you can control is how you consume this necessary resource. Taking a few small steps to curtail waste as much as possible can have a dramatic impact on your bottom line, helping to make sure as much money as possible is staying where it should be: in your bank account.

Industry Spotlight: Actsoft Solutions in Healthcare

Much like the public sector, healthcare is often times a mission-critical industry. Mere minutes and seconds can have life-saving implications, especially when it comes to emergency response. Because of this, organizations that provide medical services need solutions that can keep them better in tune with their mobile employees. Crucial situations that call for clear, open lines of communication are more easily managed through Actsoft’s workforce management applications, and we take pride in being able to assist organizations that help those in need find greater efficiency.

Fleet Tracking

Ambulance fleets that are monitored using our solutions’ GPS tracking capabilities are better equipped to operate safer and more efficiently. Our fleet tracking applications go even further than traditional solutions by displaying data charts about the activities of each of your respective fleet vehicles, allowing you to make better, more informed decisions about your mobile workforce. Let Actsoft solutions help your team regularly reduce its ambulances’ fuel consumption and wear-and-tear today.

Dispatching

Easily make on the fly adjustments to your workforce using Actsoft’s Dispatching tool. Both palliative care services and EMS can use the power of mobile technology to strategically direct the different parts of their workforce in near real-time, as employee positions in the field help administrators dictate who should get routed to a new location. With Dispatching, your workers can receive nearly instant notifications of procedural adjustments to their handsets, making your team better-rounded and more versatile than ever before.

Wireless Forms

A system for digital documentation takes the guesswork out of filling out and submitting paperwork, and is an especially useful asset in a time-sensitive industry like healthcare. Wireless Forms lets healthcare companies fill out forms electronically, and aspects of the feature such as decision logic help to reduce entry errors by showing employees only relevant portions of a document to complete, based on their previous answers.

Superheroes, Assets, and the Benefits of Tracking

In the last couple of weeks, fall premieres began to steadily flood into television sets around the country. After months of agonizing — that may be too strong of a word, but just go with it, okay? — over the futures of beloved characters in the wake of season finale cliffhangers, we’re finally able to move forward with plotlines and find out what happens next. And not a moment too soon.

As a big fan of superhero shows, I was especially excited to see the return of some of my favorites on the CW network, learning what was to become of some of my beloved characters on shows like Supergirl, The Flash, and Arrow.

While each show has its own plotline, they are part of the same universe, allowing for some crossing over, which is always exciting. But another thing that each has in common is that the hero has a loyal team that keeps watch over them from the home base. Thanks to tracking devices and the ability to communicate with each hero instantly, they’re able to monitor, say, Supergirl’s exact location in National City as she’s out and about delivering justice to the bad guys. This ability to track in near real-time helps to make sure our heroes are kept as safe as possible while out in the field and, when something goes wrong, the people back at home are alerted so they can respond accordingly.

When you stop to think about it, this process isn’t all that unlike the way Actsoft helps companies monitor their precious assets. Take, for example, a construction site. More often than not, these types of projects last for months, if not years, and involve a lot of heavy equipment. It’s counterproductive for a crew to have to haul everything to and from the site each day; it would result in a lot of wasted time, which translates to wasted money.

Because of this, that equipment is most often kept at job sites overnight, and oftentimes unguarded. By simply installing one of our asset trackers to your costly equipment, you can rest easy knowing that it’s staying right where it should. In the event that someone attempts to mess with it during off hours, you’ll be sent an alert just like Team Arrow is whenever the man in green is in trouble. These alerts, sent in near real-time, can be all that stands between your equipment’s safety and you being out thousands of dollars due to theft.

What constitutes “messing with” your assets? The versatility of our software allows you to set up those parameters specific to your needs and desires. It could be any movement whatsoever during certain hours. Or you could set alerts to sound if anything leaves your custom geofenced area, no matter the time of day. You’re in complete control, here, so it’s entirely up to you.

Our asset tracking solutions aren’t just limited to construction sites. No matter what type of equipment you have — big or small — and whichever industry you may be in, the ability to see exactly where your valuable gear is at any given time provides the kind of peace of mind any busy business owner would find comforting.

Whether it’s a superhero saving yet another day, a construction crew erecting a new building, or any of the myriad other industries out there, reliable tracking helps you to safeguard what’s most important to you.

Encore’s New Barcode Scanning Feature is Here!

We’re proud to announce that our premier solution, Encore, has received a powerful new enhancement to its Wireless Forms feature! With barcode scanning, you can now use the cameras of your workforces’ mobile devices to scan QR codes and barcodes.

The applications of this feature are practical for virtually any company that regularly needs to fulfill checklists, manage inventory, and accurately track employee hours. By simplifying processes and eliminating the need to purchase separate barcode scanning devices, Actsoft has made it possible for your business to consolidate, and save even more resources.

Inventory Management

Experience improved efficiency when it comes to keeping track of inventory. Barcode scanning lets you scan codes to input data into a wireless form, making it easier for your team to take note of any tools that were used and successfully returned throughout the course of a workday. Standardizing the process of inventory management can help to prevent equipment loss, and it also gives your staff a unique advantage by helping them easily identify what parts need to be ordered for a job’s completion.

Timekeeping

Barcode scanning can be used in tandem with Timekeeping, and in doing so, you’re able to verify that your employees are remaining accountable whenever they clock in or out. As long as a wireless form is attached, registered time punches can be accompanied by ID code scans, helping you preserve the integrity of your staff’s timesheet data.

Proof of Work Completion

Companies in multiple different verticals can efficiently document the completion of work and daily work orders with Encore’s barcode scanning enhancement. If your organization must conduct routine inspections at close of business, barcode stickers placed at specific locations can help you verify that workers went to those positions and successfully checked them at the end of the day.

Encore’s barcode scanning tool is yet another example of how we’re constantly looking to make our solution even more practical for the everyday needs of your business. Leave behind expensive barcode scanners, timecard uncertainties, and any inefficiencies surrounding task documentation with our newest update.

Industry Spotlight: Actsoft Solutions in Transportation

In the wake of a brutal natural disaster, supplies are in critical demand. Before power restoration and rebuilding comes the provision of emergency aid to those in need, which often times comes in the form of bottled water, medicine, and food deliveries to shelters, and the transportation industry plays an essential role in accomplishing this.

Bringing goods to areas that have been hit hard by a volatile weather system isn’t always easy, as road blockages, flood waters, felled power lines, abnormal traffic patterns, and other obstructions can impair efficient delivery. However, transportation companies that offer assistance in scenarios like this can use Actsoft solutions to mitigate operational hindrances, and better help people that have been caught in some of nature’s most destructive potential.

GPS Tracking

Even after a storm has passed, there’s still a significant level of danger in reaching areas that have been damaged by blistering winds, torrential downpours and structure-devouring storm surges. Our GPS Tracking feature helps transportation companies monitor the near real-time positions of their employees, fleet vehicles, and assets, and enhances driver safety by keeping administrators constantly in-the-know about their locations. Should an emergency occur on the job, supervisors can know exactly where any of their dispersed employees are, making emergency situations much more manageable.

Dispatching

Mobile technology and Actsoft innovations work together to bring dispersed workforces into a more connected state. If adjustments in delivery assignments need to be made on the fly, our Dispatching tool allows administrators to contact their drivers nearly instantly through integrated desktop-to-smartphone communications. With relief efforts requiring high levels of flexibility, Dispatching is a valuable asset for 21st century transportation companies to have in their repertoire, especially during times of catastrophic weather.

Traffic Overlay

After a weather event like a hurricane has ceased, it may take a while for traffic patterns return to semblances of normalcy. Emergency deliveries, however, don’t have time to wait when the public is in dire need of survival supplies. Using Traffic Overlay, a recent enhancement to our Encore solution, organizations can see near real-time congestion patterns on their live view GPS map, and then select the most efficient routes for their drivers to take to affected areas.

Extreme weather phenomena are often unpredictable. Let the power of our solutions revolutionize your transportation business into the most productive, efficient, and versatile version of itself, and provide disaster-stricken areas with unparalleled assistance during aftermath recovery.

How to Prepare for Inclement Weather

If you’ve been watching the news the last few days, you know that the latest hurricane of the 2018 season threatening the U.S. — Hurricane Michael — is currently barreling its way into the Gulf of Mexico. As it makes its way north, it’s expected to charge up using the warm waters of the Gulf, increasing in strength until it makes landfall, potentially as a Category 3 storm, which means its wind speed will range from 111–130 mph.

As of now, the hurricane’s path is expected to take it to the Florida Panhandle, landing somewhere around Panama. But because these storms are so unpredictable, here at Actsoft, we’re also taking precautions in the event that it takes a sudden turn east toward the Tampa Bay area, where our home office is located.

Inclement weather is not always just an inconvenience. Storms, such as a Category 3 hurricane, can be devastating to the communities unfortunate enough to be caught in their paths. That’s why, whenever possible, local authorities give as much warning to prepare residents for what may come.

That same preparedness is important for business owners. Solutions like the ones Encore provides often prove to be critical during just such situations.

In the event of a sudden storm, GPS Tracking can help management determine exactly where their deployed field employees are and, in the event there are people in the path of the storm, group messages can be sent to warn them all to seek shelter. Similarly, those messages can also serve as a means to check in with everyone to make sure they’re all safe, sound, and out of harm’s way.

However, if there are days’ advance warning, as in the case of the fast-approaching Hurricane Michael, those same group messages can be used to send a message to all mobile workers in the storm’s trajectory, giving notice as to the company’s plan of action.

Conversely, if you’re in the business of helping people during storms, whether it be through rescue efforts or utility repair, Job Dispatching is the best way to make sure your team is getting to job sites that are of the highest priority and urgency. Plus, since dispatching is tied into GPS, you can make sure you’re sending the closest available person so you’re maximizing time, allowing you to serve as many people as possible in the shortest amount of time.

And of course, from an accounting perspective, our Timekeeping feature lets you keep track of all the extra hours workers are putting in while helping to keep others safe, making sure they’re properly compensated as they potentially put themselves in harm’s way during, and in the wake of, the storm.

Whether you’re also in the path — potential or otherwise — of Hurricane Michael, or any other future storm that will inevitably surface, please stay safe and out of harm’s way whenever possible. And if you do need to put yourself on the line, be careful, and keep in as close contact with your team as possible.

Actsoft Joins the Ranks of the TBBJ 200

Exciting news around the Actsoft offices came out this week! Each year the Tampa Bay Business Journal categorically ranks the top 200 privately owned local businesses in a feature called the TBBJ 200, breaking each down by industry and ranking them based on the total revenue generated.

We’re thrilled to say that this year we joined the prestigious group of companies that includes such household names as Publix Super Markets Inc., Beall’s Inc., and Coca-Cola Beverages Florida LLC. Making our debut on the list at the 146th spot, we’re proud to say that a 26-percent year-over-year growth in revenue is what helped us join this impressive group of businesses.

When we launched Actsoft back in 1996 as a simple courier software, we had no way of knowing that we would grow into the international, multifaceted mobile management software company we are today. Over the years, our modest-sized team has grown into a group of more than 150 talented individuals, many based here in the Tampa Bay Area, but with others scattered across the country and even abroad.

We’re proud of all that we’ve been able to accomplish over the years, and know that, especially thanks to you, our valued customers, we can continue doing great things, expanding our reach and increasing the services we know will allow you to streamline your business practices for years to come.

Industry Spotlight: Actsoft Solutions in Education

When it comes to the well-being of your children, it’s pretty safe to assume that all parents are willing to take any extra precautions to help guarantee that they are properly taken care of and kept out of harm’s way. This is especially true when your children are in the care of others, such as school officials. That’s why, when school districts take advantage of our solutions, it gives parents the additional peace of mind that comes with added knowledge pertaining to their kids’ whereabouts and safety. There are a number of benefits that come with incorporating GPS tracking on school buses.

Bus Location
The most obvious benefit of tracking school buses is always knowing exactly where the bus is at any given time. Parents (and school administrators) can rest easy being able to know if, say, the bus is running a few minutes late or got stuck in some unexpected traffic. Plus, with the ability to see where the bus in first thing in the morning, kids can avoid exposure to inclement weather by staying indoors until their ride is closer.

Scheduled Maintenance
Know that your vehicles are always in top-notch condition by setting up reminders to perform routine maintenance checks on them. These can be based on length of time or miles traveled. Scheduling regular vehicle inspections helps to make sure any potential small issues are discovered before compounding into larger, costlier problems.

Driver Accountability
Are your drivers slamming on the brakes too often? Exceeding the speed limit regularly? Keep track of their behaviors so you can be sure students are in good hands, and that drivers are regularly practicing safe driving habits. Being able to definitively

Lower Fuel Costs
Another benefit for the school is the ability to actively monitor routes to make sure the most efficient ones are taken. Doing this helps to reduce the amount of wasted fuel due to longer-than-necessary routes. Additionally, if drivers are idling their vehicles excessively, administrators can address the issue so that they are no longer burning fuel needlessly.
