Five Supported Types of Integration with Actsoft

The versatility that our solutions provide is a powerful resource for companies with mobile workforces. By having compatibility with many third-party systems, our Encore solution makes it simple for your team to stay adaptable during daily operations and sync data collected by it* with many of the existing software types your business already uses. Integration between our solution and outside ones is possible with five kinds of API data:

Orders

Historical records of instructions you dispatched to your workforce can be accessed from your Actsoft solution’s API and synced with some third-party systems. Review and integrate past directives issued to your team for quality control, proof of service, and checklist verification purposes.

Client and User Lists

Keep better track of customer totals with user list integrations. Your clientele is essential to successful operations; use API integration to retain detailed logs of all users involved with your company.

GPS Positions

Past locations of employees, assets, and fleet vehicles can all be called up whenever you need them by accessing the Actsoft API. Sync GPS data with anything from weather maps to Esri GIS systems to better understand your workforce’s resiliency, spatial analytics, and historical dispersion.

Form Data

Using our Encore solution to create custom digital versions of all your company’s documents provides your company with a cleaner, faster, and more cost-effective way to process its information. You can then integrate this data with many alternative software types for simpler, more consolidated storage.

Timesheet Data

QuickBooks and Kronos are a couple examples of solutions that are compatible with Encore’s Timekeeping feature. When your remote employees clock in or out from their mobile devices while in the field, their timesheet information is stored within the Actsoft API, making it easy to be synced. Save time and money by eliminating manual entry entirely while trying to merge payroll or accounting systems with data from Encore.

*API integration is only supported on the Ultimate tier of our Encore solution.

The Benefits of Integrated Technology

The businesses of today rely on technology to power their workforces, especially if they’re mobile. Without solutions for managing remote operations, it’s difficult for companies to optimize efficiency and maintain a competitive advantage over other organizations in their industry. The problem, however, lies in the fact that these businesses often times use multiple different applications to handle their various inefficiencies. In doing so, they can end up paying much more for a laundry list of different software licenses, and still not have the same kind of control that a single, end-to-end business application would provide them with. Instead of buying a wireless forms solution, a tracking solution, a dispatching solution, and a timekeeping solution, why not just acquire one that includes all four, plus even more tools to make your business thrive?

At Actsoft, we realize that today’s companies need solutions that don’t add more guesswork and unnecessary costs to their daily processes. That’s why we’ve created Encore, our flagship application for data collection and business management. With Encore, you’ll be able to seamlessly integrate your remote staff’s mobile business devices with your organization’s desktops, and manage from the convenience of an all-in-one solution. Reap benefits like these as a result of integrating your business’s technology, through our most intuitive application’s potential.

Stronger Connectivity

Integration naturally bridges gaps in communication, making connecting with your team easier than ever to do. Encore’s Dispatching and Messaging features provide a seamless environment for effective, on the fly communication, and establish links between the handsets of mobile employees and your office’s backend systems. Save time and money by efficiently rerouting staff as need be, and getting crucial instructions to them quickly.

Accessibility

What more could your business accomplish if it had nearly instant, yet secure access to the valuable data it’s gathered from the field? Integrating technology allows your mobile operations to succeed, and provides your home base with all of the information it requires more efficiently. Wireless Forms on Encore lets you easily create digital copies of all of your business’s most important documents, and enables your employees to submit forms from the field. In doing this, supervisors have faster access to analytics, and can make data-driven decisions for saving revenue, and smarter resource allocation.

Consolidation

Reduce the amount of different solutions your business uses with Encore. As an all-in-one application, it can help your company save, centralize its information, and simplify the ways that it manages. Learn more about how Encore can help you integrate and enhance your business today.

Geofences and City Construction

Constructing the megalopolises of today requires some of the most cutting-edge technology available. In a time where space in downtown areas is limited and building strategies have been trending upward rather than outward, the importance of modern tools to contractors can’t be understated.

These state-of-the-art tools come in many different forms, including both digital and mechanical ones. Workforces that are tasked with the responsibility of putting together an entire city’s infrastructure from the ground up need everything from heavy machinery to workforce management solutions continuously at their disposal, in order to complete projects in timely fashion.

On the workforce management side, Actsoft can help construction companies pinpoint the locations of their assets, fleet vehicles, and mobile workers in crowded urban environments. Features of our digital solutions such as Geofences allow for the establishment of up to 30 customized points around remote work zones, clearly defining the perimeters of job sites via GPS.

Using the power of Geofences, contracting workforces can further optimize their productivity levels, and provide near real-time information on what’s truly happening in the field back to their headquartered administrators. Once geofence boundaries have been set, businesses are able to use them in conjunction with other Actsoft features such as Alerts and Asset Tracking.

Companies dealing predominantly in high-rise and downtown construction in particular significantly benefit from our asset monitoring systems, because they’re versatile. Any time a piece of equipment enters or exits a geofence’s set boundaries, Alerts will automatically notify designated individuals within their organizations. And, as the shapes of geofences are highly customizable, any obstacles to plotting accurate site boundaries are out of sight and out of mind. Irregularly-shaped geofences in space-deficient city construction can be precisely drawn to contain everything that a business needs, and nothing it doesn’t.

Allow Actsoft to help your construction company improve the security of its valuable equipment, and ensure that your team is where it needs to be during routine workdays. With our solutions’ Geofences feature, explore all of the benefits that modern GPS technology is readily offering to your workforce.

Dispatching’s Important Role in Directing a Mobile Workforce

Effective communication between remote employees and management remains an essential ingredient to the upkeep of virtually any company’s daily business operations. For organizations with mobile workforces in particular, these connections are even more important. Administrators at corporate headquarters must conduct a symphony of efficiency when it comes to managing their remote employees, and a better way to orchestrate it is with Mobile Dispatching.

This tool allows businesses to send out new directives to remote workers wirelessly, all from the comfort of a centralized location. By tapping into the power of cell phones and other forms of mobile technology, Mobile Dispatching is able to notify employees in the field about new job instructions through web portal integration. At Actsoft, it’s an integral component to our powerful suite of business solutions.

We’ve carefully engineered one of the most effective Mobile Dispatching applications, taking into account both practicality and ease of use within our development process. Actsoft’s Mobile Dispatching system even displays the availabilities of dispersed staff members, giving administrators greater insight into their workforce’s daily activities.

Coordinating resources and employees alike is also easier than ever using our solutions’ Closest To feature. As new work locations are confirmed in the field, you’ll be able to identify the nearest workers to them and route labor based on proximity. With a tandem of Mobile Dispatching and Closest To, increase the efficiency of your business’s responsiveness to new customers, and save money on fuel costs by reducing unnecessary trips.

The advent of mobile workforces has created a need for smarter, simpler business solutions that remove confusion from the task of managing scattered staff. Allow Actsoft to help your business improve its on-the-fly communication through Mobile Dispatching, and eliminate the need for employees to return to your home office any time new instructions are given.

The Inefficiencies of Paper Forms

Companies in the 21st century are increasingly in need of new ways to raise their efficiency levels. As a paradigm of easier, smarter workflows has begun to take shape in the business world, there’s also been an uptick in demand for solutions that can effectively align simplicity with high productivity.

At Actsoft, we’ve responded to this new trend by engineering some of the most versatile business applications available. Our solutions are effective at helping you identify and refine any existing practices your company might have that aren’t fully optimized for efficiency, such as the usage of traditional paper forms.

For many firms, one of their most suspect points of inefficiency remains the resources they expend annually on paper alone. In addition to being incredibly costly from a yearly perspective, paperwork can also be easily lost, illegible, and impractical to ship far distances. With our Wireless Forms solution, however, you can remove paper from your organization’s operations altogether, making any detrimental byproducts of keeping and circulating physical documents a thing of the past.

Digital documents are more secure, transferrable nearly instantly, and perfectly compatible with the mobile workforces of today. They’re also more intuitive, and customizable to the specific needs of your company.

Our Wireless Forms tool allows remote employees to unlock the full power of their mobile devices while they’re filling out documents in the field. Workers can use its features to capture and attach photos, acquire signatures via touchscreen, and even send back audio recordings within wireless documents to their business’s headquarters. Through a fully customizable form template builder on the web, you’ll be able to handcraft your organization’s wireless forms with ease, so that your team can access and complete them while away from the office.

Actsoft will continue paving roads into the future of business efficiency, with our Wireless Forms solution leading the way. Give your mobile employees a simpler, faster way to send information, and experience savings as a result.

Form Workflows: The Latest Addition to Wireless Forms

Users of Encore’s Ultimate tier now have access to a powerful new enhancement that can transform the ways in which their employees complete forms from the field. Aptly named Form Workflows, this revolutionary new tool ushers in a new era of user-friendly software that is designed to increase the collective teamwork of a business’ employees, specifically when it comes to form submissions.

What is Form Workflows?

If your business has ever experienced difficulties with processing documents in a timely manner due to stalls in transfer between departments, you’ve likely witnessed firsthand how inefficiency can be a detriment to your bottom line. Form Workflows addresses this issue by granting your employees the ability to pass off unfinished electronic forms between the mobile devices of your workers, sharpening information relays and introducing a chain of command structure to your current document processing system.

How can a chain of command benefit my business?

For forms that require approval from supervisors or external departments within a company, chains of command can be established with Form Workflows. This term describes the idea that multiple employees can be lined up in a certain order to each complete a designated portion of a single electronic form.

Within Form Workflows, decision logic can be used to redirect an unfinished form to another department, depending on what information is entered. For example, if a company has built a custom expense report, the form can be programmed to automatically be sent next in the command chain to either a management team or an accounting department for review based on whether or not the calculated total amount exceeds a set threshold.

Setting up a chain of command through Form Workflows can allow your team to streamline its internal processes, speed up document filing, and enhance the accuracy of any information recorded from the field. By increasing company efficiency as a whole using this powerful new feature, your business could experience savings of both time and money in every single form submission it performs.

Brian Baehr, director of product design and development at Actsoft, is one of the primary influences behind the inception of Form Workflows. Baehr firmly believes that the solution can be a breakthrough staple of increased efficiency for businesses located in a multitude of different industries.

“Form Workflows lets users really customize and simplify what they can do,” said Baehr. “The feature takes the guesswork out of an employee’s job.”

Consider streamlining your company’s documents today with Form Workflows on Encore Ultimate, and gain peace of mind when it comes to managing the reception of your business’ valuable information.

Freight and Farming: Two Essential Roles in the Food Industry

The next time you take a bite out of a slice of pizza from your favorite local eatery, you might consider taking a step back and pondering the sheer logistics that had to take place in order to allow it to be sitting in front of you. Long before the food was even first placed into an oven, industries such as trucking and farming were working seamlessly together to harvest and transport its ingredients efficiently.

It’s no secret that transportation and farming are two of the strongest vertebrae in the backbone of the United States’ food supply operation. With the tiniest mistake easily able to derail business for multiple delivery-dependent restaurants and supermarkets across the nation, the pair’s impact on America’s economy at large is huge. Due to this, high expectations of the farming and transportation industries are always prevalent, and workers from both verticals know how important it is to provide customers with fresh goods in a timely manner. As being stocked with adequate supplies is one of a food vendor’s biggest priorities when it comes to managing business, the tandem of farming and freight is often times left with very little margin for error.

At Actsoft, we take pride in being able to alleviate some of the difficulties that companies in these industries can face on a daily basis. For many farmers, their harvesting machinery is a crucial part of their livelihood, and these tools often times aren’t cheap. For example, a John Deere combine harvester, a common machine for harvesting grain can end up costing hundreds of thousands of dollars to purchase brand new. However, using our wireless solutions, lucrative machinery like this can be monitored and tracked via GPS and geofence setting, serving as a digital security blanket that actively protects against misuse and theft.

Furthermore, Actsoft’s solutions are able to help ensure that climate-sensitive goods are monitored carefully while being transported in trucks with refrigerated trailers. If a cooling unit deviates from a set temperature threshold while storing and transporting foodstuffs, alerts detailing the changes in climate will automatically be sent to company staff. As perished items can’t be used or served to customers, these cargo alerts from Actsoft remain an incredibly powerful tool for food transportation companies to take advantage of.

Moving and supplying millions of tons of food on an annual basis is no easy feat. However, to help companies in both farming and trucking achieve increased efficiency and saved revenue, Actsoft’s solutions are readily available to make these productivity goals a reality.

How Has Communication Evolved?

Communication is one of the most important things to society, and it has continued to transform as time has churned forward. In contemporary times such as these, advances in technology have played huge roles in improving people’s access to one another, as they have simplified the logistics of communicating across far distances significantly. Cell phones and computers allow people to talk to one other nearly instantly even if they are thousands of miles apart, which is a fascinating concept, especially once the broader context of communication’s history is taken into account.

If you could go back in time and talk to a person from the year 1750 in a face-to-face setting, they’d probably look at you like you’re crazy if you tried to explain to them how the iPhone X’s new Animoji feature works. In fact, even if we sped things up two more centuries to the 1950s and conducted the same exercise, you’d still get a bewildered and confused reaction from a person living in that era. Nevertheless, the advances that older societies like these made to the concepts of communication as a whole were instrumental in building what we currently have at our disposal.

The beginnings of communication took the form of cave drawings by some of our earliest ancestors, and later the ancient Phoenicians developed the first universal alphabet in order to trade with multiple cultures. Soon, ancient Egyptians began creating early forms of paper to write on using papyrus, further advancing the known world’s adaptations of communication. Much later, all of these early developments would help culminate in the first computers, but these machines filled up entire buildings and provided only minimal functionality. Now, in terms of processing power, cutting-edge engineering has allowed for machinery that used to take up whole rooms to fit snugly into the size of your pocket. This is a key factor in what allows us to instantly communicate with people on the other side of the globe today.

The present-day business world in particular heavily relies on communication to accomplish work and function on a daily basis. Internal memos, customer interactions, and employee collaboration on projects are just a few examples of where communication is a necessary tool in a corporation-style setting. In fact, communication is so vital to a business that if a company actively puts extra emphasis on improving its internal and external communication, its productivity, clarity, and profits could all experience significant rises.

At Actsoft, equipping businesses with modern mobile resource management (MRM) solutions to effectively communicate is one of our biggest proficiencies. For example, our Wireless Forms feature in many of our solutions grants employees in the field with an easy but intuitive method of completing paperwork and sending it back to the home office via mobile phone or tablet. This can streamline work flow from the field back to company headquarters, saving time, money, and resources. Job Dispatching is another service Actsoft provides that can prove to be a vital asset to a company’s workers in the field. Using this, employees can receive and immediately respond to new work assignments from the tap of a screen while they are out in the field.

For companies located in many different industries, Actsoft’s MRM products will continue to blaze a trail into the future of business communication for years to come. With advancement and user convenience at the forefront of our development priorities, companies who are searching for a new type of communicative solution are in luck.
