What is Electronic Visit Verification (EVV)?

Technology is rapidly changing the ways that businesses in the healthcare industry reach and serve their patients. A relevant example of this is through Electronic Visit Verification (EVV), a type of system that helps companies document proof of their service delivered to patients. EVV is especially crucial for home healthcare providers with mobile medical staff as they make visits to clients in the field.

Aside from providing key returns like reduced paper costs, more secure data storage and transmission, and efficient workforce coordination, an EVV solution can help your healthcare organization remain in compliance with federal mandates, as healthcare companies will eventually be required to implement one, according to the 21st Century Cures Act. The implementation deadline is January 1, 2020, for Personal Care Services; Home Healthcare Services must have an EVV solution by January 1, 2023, in order to avoid fines and stay in regulation.

There are six key data elements that an EVV system must track: patient names, dates, locations, types of service performed, the home health provider’s name, and the start and finish times of care delivered. Recently, we released Encore Vault, a version of our flagship solution whose EVV options let you capture this information. Encore Vault contains even more features for enhanced security and is in compliance with the Health Insurance Portability and Accountability Act (HIPAA). This new tier’s timekeeping- and scheduling-based options for EVV give healthcare companies like yours the flexibility they need to select a plan that works for them.

Benefits of Encore Vault include:

  • The ability to eliminate overbilling by pinpointing and logging visits
  • The ability to reduce insurance fraud and falsely filed invoices with GPS-tagged records
  • Enhanced worker safety
  • Timestamped trips by caregivers for accurate visit times
  • A highly secure messaging platform to communicate on

Unlike most lower price point EVV applications, Encore Vault also offers GPS Tracking as a complement to all of its proof of service delivery functionalities. See the near real-time positions of your mobile nurses and delivery people to verify that they’re at the correct locations, help them choose the most fuel- and time-efficient routes to patient homes, and increase workforce accountability using this intuitive feature. With our diverse EVV solutions, your organization can stay compliant and optimize its daily visit schedules through improved locational insight. Find out more today about what Encore Vault can do to help your healthcare company better serve its patients.

Feature Study: GPS Tracking on Encore

Companies employing a mobile workforce are faced with a need to monitor their remote teams during working hours and ensure that operations remain productive. However, keeping tabs on dispersed staff, vehicles, and other assets can be difficult to do all at once. Encore’s GPS Tracking feature is able to eliminate this problem by providing a live view map that displays each relevant position in an intuitive, easy-to-understand format.

What are the benefits of GPS Tracking?

Managing a team of remote employees poses challenges in and of itself, no matter the industry. How can productivity be efficiently monitored by administrators back at a company’s headquarters? Encore’s GPS Tracking feature helps supervisors and executives ensure that their employees are where they need to be during working hours by reporting their near real-time locations.

Many companies also have valuable assets that they require to facilitate routine operations. GPS Tracking helps to bring down costs from wasted time and unnecessary fuel expenditure by making it easier for businesses to leave these pieces of equipment in the field overnight. Due to around-the-clock tracking, your team can experience additional potential benefits such as theft prevention and asset recovery, if something gets misplaced or improperly used.

The versatility of GPS Tracking is another aspect that provides return on investment. As one of the core features of Encore, GPS Tracking works in tandem with multiple other tools that the solution offers, like Job Dispatching, Alerts, and Wireless Forms. Use the near real-time locations of employees to reroute nearby workers to new jobs, receive notifications any time assets enter or exit specified parameters, and even see location-stamped markers whenever a digital form is submitted from the field.

GPS Tracking is Encore’s bedrock feature and remains one of the most important mobile resource management tools available today. Modern-day businesses like yours can use our location-enabled application to enhance productivity, optimize workflows, and manage with ease.

Useful Tips for Avoiding Traffic

As a regular factor for many commuters, heavy traffic can put a strain on mental health, car lifespans, and time management abilities. It can also end up costing drivers significantly more on fuel over time.

At Actsoft, we’ve realized that these negative factors of roadway congestion can hinder operations for companies with mobile workforces in particular. And while dealing with traffic is inevitable at times, there’s plenty of cases where it could’ve been avoided entirely by simply taking a better route, or getting equipped with smarter tools for planning ahead. Here’s three ways that our solutions can help businesses like yours circumvent the hassles of packed streets on a daily basis.

GPS tracking in near real-time

While traffic may be worsening in some developing areas and urban centers due to increasing amounts of cars on the road, the power of technology continues to advance. GPS tracking solutions like the ones we engineer now allow you to analyze, strategize, and optimize the daily processes of your workforce on the fly. With our GPS Tracking feature, you can see the locations of your dispersed workers, and find the most efficient ways to direct certain employees to new job sites in the field digitally. Traffic can certainly play a factor in how quickly an employee can get to a new job assignment, regardless of how far away they are. Use our applications to accurately monitor the positions of your mobile team members, and manage roadway congestion with ease.

Traffic Overlay

The toll of heavy traffic can cause your business to lose money in more ways than one. Prolonged instances of idle time accelerate vehicle wear-and-tear, stall productivity, and unnecessarily burn gasoline, making them something to consider reducing. Now, we’ve made it simpler than ever to keep vehicle idling at a minimum using our new Traffic Overlay feature.

As one of our latest enhancements to Encore, our flagship solution, Traffic Overlay gives you the ability to see near real-time traffic patterns on top of your dashboard’s live view maps. Look at which intersections or interstates have the heaviest amounts of traffic prior to sending out employees to work zones, and make smarter route decisions that will conserve more resources.

Optimize schedules

Rush hour remains one of the most constricted times of the day for traffic patterns, as commuters depart from their jobs all at once. Thankfully, our Timekeeping feature enables your remote employees to clock in and out directly from their mobile devices, eliminating any need for them to drive to the office and register time punches before starting or ending work. Get your staff to job assignments quicker, and allow them to get a head start on common rush hour traffic times using our powerful solutions.

The Versatile Solutions of GPS Technology

The creation of a Global Positioning System (GPS) has brought extra convenience and powerful business applications alike into the lives of modern-day people. Things such as locating lost equipment, estimating lengths of travel, and even visiting unfamiliar places have become so much easier to accomplish through the concept of GPS, and the system’s versatility makes it one of the most impressive resources available in the digital age.

How does GPS work?

The GPS network is comprised of multiple satellites that are kept in perpetual orbit around Earth, and each one of these satellites transmits information to GPS receivers on Earth’s surface. This data is then used to calculate the positions of receivers in near real-time by comparing the time a signal was transmitted from a satellite to the time it was collected. A difference in time elapsed gives the receiving device an accurate perception of how far away the satellite it originally accepted the ping from is, allowing for precise locations on a digital map to be plotted.

Actsoft’s solutions

Many of our applications use GPS in order to let businesses see the near real-time locations and activities of their mobile workforces. In doing this, Actsoft’s tracking software can help to increase the efficiency of company operations, while lowering costs for an organization at the same time. Valuable equipment and assets that are scattered in the field, away from corporate headquarters are able to be constantly monitored for security purposes, and any speeds of business vehicle travel can also be recorded, all using the tandem of our products and GPS satellites. Once given comprehensive reports on the driving behaviors of remote workers, businesses can then use that information to implement strategies for reduced fleet wear-and-tear, saved fuel, and better time management.

Using the power of GPS, Actsoft has engineered intelligent business tools for better, faster mobile operations. Let us help your company reach new heights of efficiency today by providing your team with our sophisticated, yet user-friendly spatial analytics solutions.
