Practical Uses for Form Workflows

As one of the most dynamic tools that our Wireless Forms feature has to offer, Form Workflows* is an essential way for companies using our solutions to streamline their documentation processes. This is done through employees digitally sending incomplete forms from one mobile device to the next, allowing them to fill out any relevant information in a seamless chain of command. In addition to helping your staff save time, Form Workflows can also help enhance the accuracy of your documents’ data, as well as allow you to implement authorization processes for submitted forms. Personnel who have greater permissions are able to reject and send back an electronic document once it’s been submitted to them to the previous user if there are certain portions missing or if the data is incorrect. Here are a few practical ways that Form Workflows can be used in three different industries:

Construction

A construction company can rely on Form Workflows to track the near real-time progress of their building projects with documentation routing. As certain aspects of a project gradually become finished, the teams that were responsible for their completion can fill in details about the construction site’s timeline and send them back wirelessly for management at the home office to review.

Healthcare

For healthcare organizations, monitoring medical services delivered remains key for quality control and verification purposes. Using Form Workflows, these companies can store and transmit data back to headquarters in a highly secure environment, giving individuals on their administrative teams extra abilities to sign off on and evaluate details about conducted patient visits.

Transportation

Moving cargo is easier to do by using Form Workflows to help trace vehicle stops and shipment statuses. Truck drivers who are taking goods from the warehouse to the airport for worldwide distribution can use a tandem of Form Workflows and Signature Capture to ensure that deliveries are successfully handed off. As a result, customer service can remain optimized, as increasingly efficient workflow tracking provides more realistic package arrival times for the clients awaiting them.

Find out more about how Form Workflows can help your organization implement accuracy checklists, save your company time and money, and improve its service levels to customers today.

*Form Workflows is a feature exclusively available to users of Encore’s Ultimate tier.

Handling the Inefficiencies of Harsh Winter Weather

The biting cold of winter can bring with it a slew of inefficiencies for organizations that must regularly deploy a mobile workforce. From icy roadways causing driving hazards to snowstorms affecting work performed outdoors, the toll that harsh winter weather imposes on operations should always be accounted for in any business’s game plan.

Construction and transportation companies in particular must deal with some of the worst symptoms of bad winter weather. As either road travel or working outdoors are essential to both of these industries, safety remains a major concern. And while our software can’t prevent bad weather from occurring, it can help your team stay on its feet during these kinds of less-than-ideal conditions. Features of Actsoft solutions like GPS Tracking make navigating roads simpler to do, especially when icy conditions have impacted available routes. In the case of an emergency situation, pinged positions of your employees’ mobile devices and fleet vehicles help your business know the whereabouts of its workforce’s various pieces on the fly. These positions also assist your administrators with finding the best routes for company drivers to take to job locations in the field.

Building delays from blizzards or other forms of inclement seasonal weather can also pose threats to your business’s success. However, our applications can help you communicate more efficiently with your staff during times like these, and find a more intuitive method to convey crucial information about project statuses. Save time and money by coordinating your workforce from the convenience of a single digital solution, and connect your team across distanced locations, even in the midst of bleak conditions outside.

Through the power of Actsoft, fight the inefficiencies that harsh winter weather can create for your company’s objectives. Our products make gaining insight into field operations and employee communication easy, no matter the amount of forecasted snowfall.

Industry Spotlight: Actsoft Solutions in Transportation

In the wake of a brutal natural disaster, supplies are in critical demand. Before power restoration and rebuilding comes the provision of emergency aid to those in need, which often times comes in the form of bottled water, medicine, and food deliveries to shelters, and the transportation industry plays an essential role in accomplishing this.

Bringing goods to areas that have been hit hard by a volatile weather system isn’t always easy, as road blockages, flood waters, felled power lines, abnormal traffic patterns, and other obstructions can impair efficient delivery. However, transportation companies that offer assistance in scenarios like this can use Actsoft solutions to mitigate operational hindrances, and better help people that have been caught in some of nature’s most destructive potential.

GPS Tracking

Even after a storm has passed, there’s still a significant level of danger in reaching areas that have been damaged by blistering winds, torrential downpours and structure-devouring storm surges. Our GPS Tracking feature helps transportation companies monitor the near real-time positions of their employees, fleet vehicles, and assets, and enhances driver safety by keeping administrators constantly in-the-know about their locations. Should an emergency occur on the job, supervisors can know exactly where any of their dispersed employees are, making emergency situations much more manageable.

Dispatching

Mobile technology and Actsoft innovations work together to bring dispersed workforces into a more connected state. If adjustments in delivery assignments need to be made on the fly, our Dispatching tool allows administrators to contact their drivers nearly instantly through integrated desktop-to-smartphone communications. With relief efforts requiring high levels of flexibility, Dispatching is a valuable asset for 21st century transportation companies to have in their repertoire, especially during times of catastrophic weather.

Traffic Overlay

After a weather event like a hurricane has ceased, it may take a while for traffic patterns return to semblances of normalcy. Emergency deliveries, however, don’t have time to wait when the public is in dire need of survival supplies. Using Traffic Overlay, a recent enhancement to our Encore solution, organizations can see near real-time congestion patterns on their live view GPS map, and then select the most efficient routes for their drivers to take to affected areas.

Extreme weather phenomena are often unpredictable. Let the power of our solutions revolutionize your transportation business into the most productive, efficient, and versatile version of itself, and provide disaster-stricken areas with unparalleled assistance during aftermath recovery.

Natural Wonders: 5 Secluded Beaches to Escape the Crowds

Sometimes, the very thought of “going green” can sound the alarm for business owners as a practice that, while noble, requires a huge investment of finances that not only will affect their bottom lines, but that they just don’t have the resources to put forward, even if they wanted to.

But that’s not always the case. At Actsoft, we give business owners the tools to cut down on unnecessary waste, namely paper and fuel. Just by cutting back on the use of both resources, you’ll be putting money back into your pocket and reducing your carbon footprint.

For example, our Wireless Forms tool gives you the ability to significantly reduce the amount of paper you use both in the field and in the office. To boot, in addition to the financial savings and eco-positive results from dialing back paper use, you’ll also see gains in terms of your team’s ability to turn around more work in the field.

When you switch from paper to digital forms, your remote crew can process “paperwork” much faster and, instead of having to take the time to bring all physical forms back to the office for processing, they can zip it off instantly and be off to the next assignment without missing a beat. And your office team can work faster to process it since there are no discrepancies resulting from poor handwriting or damaged papers.

It’s an all-around win-win solution: money in your pocket and a reduced carbon footprint. And it’s why we’re continuing to celebrate our green solutions by paying tribute to some of our favorite natural wonders from around the world. This week, we’re traveling to some of the greatest secluded beaches. These are the ones to hit up when you want a beachy retreat but without all the noisy crowds.

Dry Tortugas, Florida
It doesn’t get much more secluded than this. First, you have to get all the way down to Key West, in the Florida Keys. From there, you’ll hop on a ferry (or charter a seaplane) and travel some 70 miles west, where you’ll arrive at the 100-square-mile national park. Pack everything you need, including food and drink, since there are few amenities on the island. Four calm, crowd-free beaches can be found along either side of the cloistered paradise. In the center, serving as a backdrop, is Fort Jefferson. Built as a military fortification and then later used as a prison, this massive structure takes up an expansive portion of the island and is a must-see site for any history buff. If a day trip to the island isn’t enough for you, there are a limited number of campsites available to rent, on a first come, first serve basis.

Second Beach, Washington
Part of the La Push trio of beaches, the only way to get to this stretch of surf is through a hiking trail full of switchbacks and an array of trail conditions, including a worn (but fully functional) wood-framed “staircase.” A cabinet tree (which some hikers opt to drop keepsakes inside of, despite the “leave no trace” rule inherent for most naturephiles) marks the near-end of the path. Once at the beach, you’re treated to a stunning view of towering sea stacks in the distance, plus a natural rock arch you can often hear the wind whistling through on stormier days. Oh, and if this all looks familiar, it’s because it was featured in the movie, “Twilight.”

Cumberland Island, Georgia
Georgia’s southernmost (and largest) barrier island is only accessible via a ferry, so don’t plan to drive there, despite the island’s close proximity to the mainland. The eastern side is where you’ll find some 17 miles of beach stretching from the top to the bottom of the island. While the beaches are a peaceful respite from throngs of crowds, and devoid of litter and debris, you may find yourself sharing the space with a potentially rowdy group … of horses. Cumberland Island is home to a number of feral horses that roam its grounds, including the beach, so be on the lookout for a congregation of the majestic creatures potentially frolicking in the surf. Hotel accommodations are available on the island or, if you’d rather be a little closer to nature, you can reserve a campsite from the National Park Service.

Roque Bluffs Beach, Maine
In the sleepy town of Roque Bluffs, you’ll find a duality of waterfronts. On the north side of the road are the serene, still freshwaters of Simpson Pond. In stark contrast, across on the street is where saltwater waves lap at a half-mile stretch of sandy beach. Pack a picnic, since there isn’t much in the way of accommodations along this sleepy stretch of coastal Maine road, found nearly 90 miles east of Bangor, the closest “large” city. Then enjoy the views of Englishman Bay as you while the afternoon away.

Awahua Beach, Molokai, Hawaii
With a long history of isolation, thanks to its past use as a colony for those with leprosy, the entire island of Molokai remains the least developed of the Hawaiian chain. This is especially true of Awahua Beach. The beach is only accessible by hiking, but only with a local tour group, since you’ll pass through the abandoned remnants of a historic leper colony. Once you arrive, you’re treated to a quiet, stunning black-sand beach, surrounded by some of the tallest cliffs to be found on the island. Because of the unpredictable, strong currents, swimming is prohibited, but there’s nothing to stop you from enjoying the one-of-a-kind views.

The Inefficiencies of Paper Forms

Companies in the 21st century are increasingly in need of new ways to raise their efficiency levels. As a paradigm of easier, smarter workflows has begun to take shape in the business world, there’s also been an uptick in demand for solutions that can effectively align simplicity with high productivity.

At Actsoft, we’ve responded to this new trend by engineering some of the most versatile business applications available. Our solutions are effective at helping you identify and refine any existing practices your company might have that aren’t fully optimized for efficiency, such as the usage of traditional paper forms.

For many firms, one of their most suspect points of inefficiency remains the resources they expend annually on paper alone. In addition to being incredibly costly from a yearly perspective, paperwork can also be easily lost, illegible, and impractical to ship far distances. With our Wireless Forms solution, however, you can remove paper from your organization’s operations altogether, making any detrimental byproducts of keeping and circulating physical documents a thing of the past.

Digital documents are more secure, transferrable nearly instantly, and perfectly compatible with the mobile workforces of today. They’re also more intuitive, and customizable to the specific needs of your company.

Our Wireless Forms tool allows remote employees to unlock the full power of their mobile devices while they’re filling out documents in the field. Workers can use its features to capture and attach photos, acquire signatures via touchscreen, and even send back audio recordings within wireless documents to their business’s headquarters. Through a fully customizable form template builder on the web, you’ll be able to handcraft your organization’s wireless forms with ease, so that your team can access and complete them while away from the office.

Actsoft will continue paving roads into the future of business efficiency, with our Wireless Forms solution leading the way. Give your mobile employees a simpler, faster way to send information, and experience savings as a result.
