What Makes Encore’s Wireless Forms Feature Dynamic?

Encore’s Wireless Forms feature offers a much more robust experience to companies than what traditional paperwork offers. By allowing your mobile employees to document and submit form data from a smartphone or tablet, the feature is able to harness all the capabilities of mobile technology to increase efficiency and detail with every form submission. Here are three specific ways Wireless Forms offers a more dynamic documentation process than traditional paperwork.

Dynamic fields

Perform anything from mathematical equations to signature captures with dynamic fields on Wireless Forms. These portions of a digital form provide more versatility and functionality than traditional paper documents, making the form completion process simpler, smarter, and more detailed. Four types of dynamic fields include:

  • Signature Capture (with a touchscreen device)
  • Photo Capture
  • Audio Capture
  • Barcode Scanning

Data analysis

Form data submitted back to the office from the field is formatted and collected on our Encore solution’s dashboard, making it easy for your administrative team to see and analyze graphical representations of all submitted data from your company’s mobile staff. Manual data entry is eliminated from paper forms to desktop computers, increasing your team’s productivity and providing it with extra insight on your workforce’s activities.

Faster information reception

Instead of having to drive truckloads of paperwork to and from the office, or worse, paying for security companies to transport it far distances, rely on Wireless Forms to transmit information nearly instantly on a highly safeguarded digital platform from mobile devices back to the office. Encore Vault’s heightened security levels are able to help keep document data secure at rest and in transit, allowing you to receive document submissions quickly and confidentially.

Reduce paper costs, damage from handwriting or mathematical errors, and wasted time with Wireless Forms. By providing your team with additional savings avenues, this feature of Encore adds documentation that’s truly dynamic to your workforce’s processes.

How to Make Data Work For You

Every day companies are collecting data, whether intentionally seeking it out or as a byproduct from conducting business as usual. This information is usually varied and potentially meaningful, from customer service queries and sales information to ethnographic and geographic statistics. All of it can make an impact on your business if its properly understood and used to inform strategy. According to “Hypotheses in Marketing Science: Literature Review and Publication Audit” by J. Scott Armstrong, Roderick J. Brodie, and Andrew G. Parsons, marketing research uses the scientific method in that data is collected and analyzed to test prior notions or hypotheses. Experts in marketing research have found that studies featuring multiple and often competing hypotheses yield more meaningful results than those featuring only one dominant hypothesis. Therefore, objective analysis coupled with a few hypotheses and a structured series of tests may be the smartest way to yield positive results.

With so many avenues from which companies are receiving information, figuring out how to capture that information, or even how much of it to capture can be daunting. (Do we need to figure out how many clients with red trucks are purchasing a particular product, and if there’s a trend?) However, the good news is that with the acceleration of technological progress, there’s also more access to data-capturing tools, and at more affordable costs. Who knows? You may even have those tools now, but don’t realize it.

Actsoft’s Wireless Forms is a perfect example of a solution that provides various functionality, including data capture and analysis. Many clients use these forms, which replace cumbersome paper variations, simply for placing orders. This is fantastic as it saves them time, energy, and tons of money on paper costs and storage. But many are missing out on leveraging all that data they’re collecting to spot trends among their customers. And what’s more, this component of Wireless Forms is included in the monthly costs, so it costs nothing extra to get reports, charts, graphs, and more. All you need to do is set the parameters and let our software do the rest.

In this day and age, when more and more people are competing for business, it’s necessary to take advantage of every opportunity to gain insight into your customer base to hit that sweet spot others might be missing … even if just barely.

How Football Player Speed Tracking Is Similar To Fleet Analytics

This past Sunday, Cleveland Browns running back Nick Chubb ran for 165 yards and three touchdowns, helping his team secure a 40-25 win over the Baltimore Ravens. On his most explosive run of the day, an 88-yard bolt to the end zone, Chubb reached a ridiculous top speed of 21.95 miles per hour, per Next Gen Stats.

The National Football League has been experimenting with new ways to track player performance, measuring advanced statistics using cutting-edge technology. Thanks to concepts like ultra-accurate speed clocking and catch percentage measurements on tight-window throws, insightful data is readily available on how players are performing, and as a result, the performance analysis process is more detailed than it’s ever been.

At Actsoft, our applications’ GPS Tracking feature mirrors many of the innovative technologies the NFL uses to track routes and top speeds by its players on long touchdown runs. Our tracking solutions are able to record the top speeds and route histories of each individual vehicle in your organization’s fleet using a combination of hardware and software, providing a powerful new way for you to regulate operations in the field. From your Actsoft solution’s dashboard, see a live view map of your vehicles in near real-time, as well as the directions they’re traveling. Advanced statistics on stop times, route histories, and speeds traveled by your mobile employees in company vehicles are also available to managers, allowing your business team to enhance quality, safety, and efficient fuel usage. If certain staff members are traveling faster than you’d like for them to while en route to an assignment, use Alerts to receive  notifications any time your customized thresholds for speeding are exceeded.

With advanced technology that collects and reports data on your fleet’s activities, Actsoft solutions are designed to help your managers stay in control of the mobile workforce they employ. Use our tools to increase team accountability by identifying excessive speeding and unnecessary stops by members of your remote teams while they’re on their way to scoring you more business.

Practical Uses for Form Workflows

As one of the most dynamic tools that our Wireless Forms feature has to offer, Form Workflows* is an essential way for companies using our solutions to streamline their documentation processes. This is done through employees digitally sending incomplete forms from one mobile device to the next, allowing them to fill out any relevant information in a seamless chain of command. In addition to helping your staff save time, Form Workflows can also help enhance the accuracy of your documents’ data, as well as allow you to implement authorization processes for submitted forms. Personnel who have greater permissions are able to reject and send back an electronic document once it’s been submitted to them to the previous user if there are certain portions missing or if the data is incorrect. Here are a few practical ways that Form Workflows can be used in three different industries:

Construction

A construction company can rely on Form Workflows to track the near real-time progress of their building projects with documentation routing. As certain aspects of a project gradually become finished, the teams that were responsible for their completion can fill in details about the construction site’s timeline and send them back wirelessly for management at the home office to review.

Healthcare

For healthcare organizations, monitoring medical services delivered remains key for quality control and verification purposes. Using Form Workflows, these companies can store and transmit data back to headquarters in a highly secure environment, giving individuals on their administrative teams extra abilities to sign off on and evaluate details about conducted patient visits.

Transportation

Moving cargo is easier to do by using Form Workflows to help trace vehicle stops and shipment statuses. Truck drivers who are taking goods from the warehouse to the airport for worldwide distribution can use a tandem of Form Workflows and Signature Capture to ensure that deliveries are successfully handed off. As a result, customer service can remain optimized, as increasingly efficient workflow tracking provides more realistic package arrival times for the clients awaiting them.

Find out more about how Form Workflows can help your organization implement accuracy checklists, save your company time and money, and improve its service levels to customers today.

*Form Workflows is a feature exclusively available to users of Encore’s Ultimate tier.

Why Data Encryption Matters

In today’s digital age, data is increasingly valuable. With that, however, comes an even greater necessity to protect it. Hefty fines can be leveled against organizations that fail to adhere to federal regulations on certain data types like Personal Health Information (PHI). Any kind of financial information that becomes compromised can also subject the firm in charge of it to massive data breach payouts.

The answer why is simple: Data is crucial to personal security. The potential damage that leaks or hacks can wreak on anything from privacy to financial health can be devastating to both the customer and the company storing it.

So, if your organization is in charge of keeping data heavily secure, what are some of its options? One of the most cost-effective but secure ones lies with our Encore Vault solution. Along with being backed by mandatory and thorough compliance training for our employees on a routine basis, our application is equipped with a slew of security levels to help you truly lock down client information, including:

  • TLS 1.2 data encryption
  • FIPS 140-2 compliance
  • 256-bit AES encryption
  • Advanced Data Security (ADS)
  • Microsoft Azure Web Application Firewall (WAF)
  • Support of HIPAA compliance for sensitive medical information

Encore Vault’s proficiencies aren’t strictly limited to efficient data collection and highly secure storage, however. The solution provides tools for you to coordinate all aspects of your mobile workforce on a platform that’s even more safeguarded. Powerful features like Job Dispatching, Intra-Company Messaging, and GPS Tracking still allow you to monitor points of interest regarding your workforce in the field and adjust workflows in near real-time. Encore Vault is designed to give companies in finance, healthcare, the public sector, and more all the functionality they’ve come to expect from a top-tier workforce management solution, but with the uncompromising levels of encryption they require.

What is Electronic Visit Verification (EVV)?

Technology is rapidly changing the ways that businesses in the healthcare industry reach and serve their patients. A relevant example of this is through Electronic Visit Verification (EVV), a type of system that helps companies document proof of their service delivered to patients. EVV is especially crucial for home healthcare providers with mobile medical staff as they make visits to clients in the field.

Aside from providing key returns like reduced paper costs, more secure data storage and transmission, and efficient workforce coordination, an EVV solution can help your healthcare organization remain in compliance with federal mandates, as healthcare companies will eventually be required to implement one, according to the 21st Century Cures Act. The implementation deadline is January 1, 2020, for Personal Care Services; Home Healthcare Services must have an EVV solution by January 1, 2023, in order to avoid fines and stay in regulation.

There are six key data elements that an EVV system must track: patient names, dates, locations, types of service performed, the home health provider’s name, and the start and finish times of care delivered. Recently, we released Encore Vault, a version of our flagship solution whose EVV options let you capture this information. Encore Vault contains even more features for enhanced security and is in compliance with the Health Insurance Portability and Accountability Act (HIPAA). This new tier’s timekeeping- and scheduling-based options for EVV give healthcare companies like yours the flexibility they need to select a plan that works for them.

Benefits of Encore Vault include:

  • The ability to eliminate overbilling by pinpointing and logging visits
  • The ability to reduce insurance fraud and falsely filed invoices with GPS-tagged records
  • Enhanced worker safety
  • Timestamped trips by caregivers for accurate visit times
  • A highly secure messaging platform to communicate on

Unlike most lower price point EVV applications, Encore Vault also offers GPS Tracking as a complement to all of its proof of service delivery functionalities. See the near real-time positions of your mobile nurses and delivery people to verify that they’re at the correct locations, help them choose the most fuel- and time-efficient routes to patient homes, and increase workforce accountability using this intuitive feature. With our diverse EVV solutions, your organization can stay compliant and optimize its daily visit schedules through improved locational insight. Find out more today about what Encore Vault can do to help your healthcare company better serve its patients.

Industry Spotlight: Actsoft Solutions in Agriculture

Agriculture has remained essential to human existence over the course of history. As society has developed, the process of growing and harvesting crops has become even more efficient than ever before, thanks to developments in technology over time which have helped this particular industry expand in terms of both volume and future potential. Farming is also an industry that’s proving to be more and more crucial as the world’s populace continues to increase. Still, it’s no easy feat to coordinate and provide a constant supply of food internationally.

To help facilitate this vertical’s around-the-clock processes, Actsoft solutions are here to provide practical applications for better operations management. These three features of our business solutions in particular are some of the most crucial for companies in the industry of agriculture, primarily due to their ability to enhance efficiency and keep valuable equipment in the field safe.

Asset Tracking

With Asset Tracking, farming businesses can keep tabs on the positions of important tools such as harvesting equipment and transportation supplies at virtually any time of the day. Collecting and distributing huge portions of crops in today’s age requires the use of heavy machinery to accomplish, and often times that heavy machinery isn’t cheap. Keep your agriculture company’s assets and equipment safeguarded 24/7 by using Asset Tracking to monitor them via GPS technology.

Wireless Forms

As another addition to the repertoire of the modern workforce, Wireless Forms’ applications in farming are frequently underestimated. Use this feature to streamline information flows on a digital scale, and complete documents such as orders, equipment repair forms, and data logs about harvest yields without having to deal with the inconveniences of paper.

Alerts

Alerts are able to add further security to assets by sending automatic notifications to property owners if a piece of equipment is moved without their authorization. In certain cases, Alerts is a feature that can also enable farmers to prolong the lifespan of their vehicular equipment by reminding them whenever routine maintenance needs to be performed. Through intelligent reporting, this capability helps agriculture businesses save on their bottom line by helping to reduce instances of equipment loss, and prevent cases of possible damage from occurring.

ELD: The Future of Transportation

Automation is the name of the game in 2018.

Businesses are increasingly in search of ways to take old, cumbersome processes and revamp them into contemporary forces of efficiency, and transportation companies in particular are a prime example of this trend. Electronic Logging Devices (ELDs) are becoming viewed as the true future of the shipping industry as a whole.

Demand for reliable ELD technology stems from the need to standardize the methods in which transportation companies go about complying with federal regulations. The Federal Motor Safety Carrier Administration (FMCSA) has instituted mandates called Hours of Service (HoS) that require corporations to record and report certain information about their employees’ driving data. During roadside inspections, operators of semi-trucks must meet certain criteria derived from their logged information, particularly as it relates to drivers getting adequate amounts of rest. These HoS regulations were designed in part to help improve road safety, and reduce the potential for drivers to fall asleep at the wheel during lengthy cross-country travels.

If a corporation’s drivers don’t comply with HoS mandates, their business risks having to pay costly fines, or even worse: they may risk higher possibilities of car crashes involving employees. Injuries and lawsuits from roadway accidents are two things that all transportation companies seek to avoid as much as possible, which makes ELD an especially valuable tool of the 21st century.

ELD solutions help to improve operations for transportation companies by automating the logging of driver data, making it easier than ever for them to avoid HoS infractions. Our ELD solution is powered by VisTracks, and it relies on a unique software/hardware combination to track driving information. Through minimal training requirements, on-screen documentation tools, and easy-to-use administration features, our solution remains one of the most intuitive on the market.

With Actsoft’s fully FMCSA-certified ELD application, allow your company’s drivers to focus on driving safely and efficiently by digitizing their driving information. Let our solution eliminate the hassles of logging travel data, and in turn increase your team’s productivity, accuracy, and bottom line savings today.
