Uber Elevate and Business Innovation

Uber unveiled this week that the third test city to be added to the list of its long-anticipated “flying taxi” service will be on the other side of the globe, in Melbourne, Australia. (The first two being stateside, in Los Angeles and Dallas.) If you haven’t been following the story, the hugely popular ride-sharing company — which revolutionized the way we all think about taxi services — has long been touting its plans to take to the skies, offering users a virtually traffic-free ride experience. (As it stands, Uber is already set to whisk people to and from JFK Airport.)

The designs for the taxi, recently unveiled at the company’s annual Elevate conference, reveal what can only be described as an airplane-helicopter hybrid, with a sleek, futuristic vibe that channels everyone’s favorite space toon: the Jetsons. It’ll be at least four years before we even see this innovative new option take flight, according to Uber, but it’s still exciting to know changes like this are on the horizon.

This type of thinking — never being satisfied with the status quo — is what catapulted Uber from a “nobody” startup to a major tech leader. The company developed a genius way to completely change an industry that was virtually untouched for decades and its popularity sparked like wildfire. Where other companies may be satisfied at the rapid success, the powers that be at Uber know that real success comes from constant innovation, from always looking for ways to push their business in new directions.

In that same line of thought, our software serves as a means to help push already successful businesses forward. With our suite of solutions, we don’t purport to provide expertise in every single industry. Rather, what we do is give businesses in virtually every industry imaginable the means to vastly improve their processes. We give you a way to maximize your efficiency — through use of features such as Wireless Forms, Job Dispatching, Timekeeping, and others — in order to make the most of what you’ve already built on your own.

One of the great benefits from our solutions is their ability to help you shave precious time off each of your tasks. This saved time creates the opportunity for you to take on even more business, which helps to boost your bottom line. But in addition, some of that saved time can be devoted to ideating, crafting new ways to take your business to an entirely new level, much in the same way the folks at Uber continue to do.

We never stop working on ways to improve our software and roll out even more features that exist to help you make more money. We hope that our role in helping you simplify everyday tasks can also play a part in the greater evolution of your business.

Setting the Pace for Your Workforce

High productivity doesn’t necessarily mean just staying constantly busy. In fact, time management is perhaps the most crucial aspect to keeping productivity optimized for your workforce. Without a plan of how your team needs to be spending its working hours, you could actually end up setting your organization backwards a few steps.

To enhance time management and productivity, first start by outlining the jobs that your workforce needs to complete. Whether they’re revenue-based, retention-based, or internal, the importance level of each will be vital in helping your administrative team delegate its tasks. Arrange these initiatives by priority to help your entire company target its most pressing goals and better achieve them through clear, concise communication with the staff members that will complete them.

It’s also important to set a good pace for how realistic it will be for your team to finish each task. Do this by reviewing past projects, how long it took for those to get done, and evaluating any new steps that your current ones will require accordingly. Establishing realistic, flexible timeframes allows your employees to experience less pressure, effectively switch to new initiatives on the fly, and even deliver more consistently on deadlines.

Actsoft solutions are able to help you carve out a path to streamlined business strategy execution using a wealth of tools. Our products provide near real-time analytics about your mobile workforce’s daily operations, assisting your management team with tracking ongoing job progress, keeping productivity optimized, and adjusting timelines if need be. Features of Actsoft applications like GPS Tracking and Timekeeping can even help you pinpoint areas of your employees’ workflows that could be further optimized for greater efficiency, like certain prohibited driving behaviors using company vehicles or instances of breaks taken too frequently.

With the power of our mobile resource management innovations, poise your organization for more reliable pacesetting, additional savings, and greater growth.

Feature Study: Timekeeping on Encore

Many companies face difficulties when it comes to accurately managing their employees’ schedules and the hours staff have worked. They also may struggle with keeping workforce productivity consistently optimized. Encore’s Timekeeping feature provides an answer to both of these points of inefficiency by allowing workers to clock in and out from their mobile devices, reducing unnecessary trips to the office and helping to increase the accuracy of timesheet data.

Andrew Velker, Actsoft’s executive vice president of sales, firmly believes in the power of Encore’s Timekeeping feature and what it can do for businesses, especially ones that have hourly employees.

“The number one expense for any organization is time and labor,” said Velker. “Being able to efficiently manage and reduce unnecessary overtime is one of the biggest ways for companies to save on their bottom lines.”

Return on investment is something that we strive to help businesses achieve through our products. Above anything else, Timekeeping on Encore provides ROI by simply making it easier for payroll to be tracked, managed, and processed. And with the help of our Professional Services team, your company can even integrate its timesheet data with some third-party payroll systems. Actsoft’s Professional Services experts will work with your developers to extract timesheet data files from your Encore application, in the format requested by your payroll company. Use this capability to increase the revenue-saving power of your solution even further.

6 Ways to Build a Successful Business

Contrary to popular belief, creating a successful business doesn’t happen overnight; it takes time and effort to build and then maintain success. In today’s business world, having time is a luxury that most people, including owners, don’t have. So how does a growing business thrive, survive, and become successful in a world where there’s so little time? Easy. Success is built over time. It may take a few years, or even a decade, to reach the pinnacle of successfulness, but it’s all worth it in the end. To succeed in business today, you need to be flexible, and have good planning and organizational skills. Many people start a business thinking that they’ll turn on their computers or open their doors and start making money, only to find it is much more difficult than they thought.

Here, six easy ways to help build the successful business that you’ve always wanted.

Understand your Brand
Know your brand more than your logo. By knowing your brand, you will know what you do and how you do it. You’ll even know what your customer interactions are like, and what type of information you should share on your social media channels. The concept of a brand extends far beyond just your company logo. It includes your business’s core values and every interaction you have with customers and suppliers. In effect, your brand creates and maintains your reputation and so reflects your customers’ experiences with your organization.

Stand Out
What makes you stand out from your competition? Standing out means that you have to find a different means to make your product more irresistible than your competitors. Once you figure out what sets your products apart from the competitors, weave your differentiators into your company’s marketing messages.

Marketing
Your marketing material should connect to the needs of your audience. You’ll want to develop and determine your niche, so that you can know who you are marketing to. It is critical that you know who your audience is so you can determine the best way to reach them. Some products and services are geared toward a wide audience, while others target a more specific market. You need to know as much about your audience as possible.

Have Great Products and Service
Word of mouth is often a great lead generator for getting more sales. Having top-notch products and services that people can talk about is a critical part of your brand. Refine your product, test it out, and then refine some more. Be sure to always put developing your product first, not the money.

Respond to Pain Points
Think about the struggles and challenges your customers face. Every successful business has products or services that respond to a customer’s biggest and most important needs. Our suite of solutions, for example, addresses the pain points of companies that manage mobile employees. We provide companies with the ability to send out recurring work orders, email notifications, manage timesheets, execute workflows, and much more. Since we know our customers, we’re able to build products that make it easy for them to manage their mobile employees. Make sure you know what problems your customers face most, so your products will be needed.

Communicating the Brand Values to Employees
Many companies fail to spread their brand’s way of thinking. The soul of the company may be totally clear to the founder, but that doesn’t mean it’s clear to the employees. Remember that your branding isn’t only for management, but everyone who is a part of the company should be able to understand and communicate the branding.

Running Your Business While Employees are on Vacation

At some point, every individual working full time needs the ability to take a few days off for relaxation and rejuvenation, as it enables them to pursue a high level of long-term productivity at work. However, if you’re running a business, juggling your employees’ vacation time requests can be difficult, especially if many of them are submitted for the same timeframe. Here are three ways that Actsoft solutions can help you remain in control of your business, whenever it might be short-staffed.

Mobile Timekeeping

Allow your employees to clock in and out from their mobile devices, and save time. Our solutions are equipped to help mobile workforces like yours spend less time on unnecessary trips to and from the office, and more at work sites instead. Despite any staffing shortages you might have to deal with during peak vacation seasons, you can still ensure that the employees you do have working are given additional time to be productive by letting them start their days as soon as they enter their work vehicles.

Wireless Forms

With Actsoft’s Wireless Forms feature, your staff can submit documents wirelessly and fill them out from mobile devices. Enhance the efficiency of your operations by using a digital system to manage and store PTO requests for vacation, as well as many other types of documents that can be customized to your organization’s needs. Through the power of this feature, benefit from streamlined information flows and a modernized approach to workforce management.

Job Dispatching

Job Dispatching makes team coordination easier than ever to accomplish, because it lets you see the near real-time positions of your remote employees during working hours and communicate new instructions to them. Make adjustments on the fly to various job assignments, and ensure that there’s enough staff at each respective point of interest. Effectively rerouting employees with this feature helps your company save revenue over time, and continuously make the most of your available labor.

As important as it is for employees to take advantage of their allotted vacation days, the show must still go on for your business, no matter how many team members are away from the office at a given time. Use Actsoft solutions to optimize productivity, coordinate with simplicity, and remove the stress from managing during times of worker scarcity.

Practical Ways to Keep Track of Your Employees’ Hours

Managing a large or small business can be hard and sometimes stressful. There are many factors for management to prepare for on a daily basis. For many businesses, managing and keeping track of employees’ hours can be tedious and irritating for the person that’s working alone in the back office. But if timekeeping is left untouched or unnoticed, businesses can collectively lose millions or even billions a year to the Department of Labor (DOL).

Not having a realistic approach to timekeeping may result in overpaying employees for hours that were not worked. Paychex.com reports that for many businesses, the idea of lost time refers to employee vacations and sick days. But what managers and business owners often fail to consider is that it’s also possible to lose time in much smaller increments that can add up significantly throughout the year. Employees can “steal” time in a variety of ways and for a plethora of reasons. They might ask another employee to “buddy punch” their time card; they may take a few extra minutes for breaks or lunches. It’s estimated that up to 10 minutes per day is lost due to tardiness, early departures, and long breaks or lunches.

Although timekeeping can be a hard job, there are ways to make this task simple. Developing a feasible method for timekeeping can keep employers on their toes. The most reliable method to track hours worked is to have a time-clock system. Depending on the industry, it may not be the easiest solution to tackle; plus, it is not legally required that you have a system in place.

However, implementing an easy-to-use payroll software is the best combination of efficiency and cost for businesses. The benefits of using a single-use tool are that it works better with existing business software, and it saves both time and money.

Timekeeping with Actsoft allows workers to increase daily productivity by reducing the amount of data entry needed for daily tasks. And it validates time by having field workers clock in and out for shifts, breaks, and lunches directly from their mobile devices. All time punches are time-, date-, and GPS location–stamped, and all information is transmitted to the back office almost instantly. Managers also have easy access to employees’ timesheets to review, approve, or correct content on the timesheets at any time.

If you’re working in the construction industry, for example, we can help you eliminate wasted time and trips to the office to submit timesheets. And with the supervisor time entry feature, crew leaders can capture time of their teams on their mobile device to input manually. And you can get instant updates on worker availability, job assignments, and dispatching activity.

Not having the proper timekeeping software could potentially cost you more than a few thousand dollars is mispaid wages. There isn’t any company that wants to waste precious money on something that can be prevented. But we can help safeguard your company’s assets and worth by having efficient timekeeping.

The Importance of Creating a Budget

Whether it’s in business or personal finance, the importance of budgeting can’t be understated. Out of control spending can derail finances for anyone, and companies that successfully keep their bottom lines in check are able to hire more employees, gain larger market share, and most importantly, avoid bankruptcy. Here’s a few tips on how to implement an effective corporate spending plan.

Sticking to a flexible plan

When formulating a budget, it’s important to avoid rigidity. While any spending plan has to involve some level of structure, a strict, no-exceptions-allowed plan can actually end up doing more harm than good, because it can be impossible to stick to. Always try to maximize the gap between your business’s cost of operations and the cash flow being brought in, but as more revenue is generated, feel free to scale up and spend more when necessary. With that being said, be sure to confirm that there’s more than enough profits to back up the expansion of your budget’s parameters before doing so.

Preparing for the unexpected

Any business will have unforeseen expenses come up at one point or another. However, the key differentiator between a financially smart business and one that’s lacking is in the preparations. Things that break in the office and deadline shifts requiring overtime are just a couple of examples of unexpected costs that may arise, and leaving room in your company’s budget for things like these eliminates the anxiety associated with scraping together sufficient funds to deal with them.

Keeping costs low

Don’t cut corners on expenses to the point where your business would suffer, but still look for ways to reduce spending wherever possible. By acquiring an Actsoft business solution, you can gain return on investment by creating new strategies to slash operational costs. For example, our Timekeeping feature allows your business to reduce unnecessary overtime, and accurately manage employee timecards. Wireless Forms is another application of ours that can allow you to save more through smartphone-to-desktop integration. Digitize budget proposals and any other company documents to eliminate paper expenses, unnecessary waste, and processing delays using this tool.

By putting in place a flexible but effective budget, your business can continue to thrive by remaining in control of its bottom line. To create new ways for your organization to retain more of its profits, use the power of our business solutions, and lower your team’s cost of operations.

Tips for Improving Your Company’s Efficiency

Now, more than ever, distractions abound and it’s increasingly easier to find ourselves veering off our planned trajectories. In our day-to-day lives, this isn’t always such a big deal. But when it comes to being at work, staying focused and working on the project(s) at hand is imperative. Efficiency plays a big role in making sure your business stays profitable. So what can you do to remain focused and moving everything forward? Here are some of our top suggestions.

Follow a routine.
We are creatures of habit. While some may suggest routines can swerve into the lane of the mundane, at the office, they can also help keep you on top of your game, operating like a fine-tuned machine. Now, this doesn’t necessarily mean that you need to map out your entire day and function like a robot of sorts. Rather, have a regularly scheduled plan for knocking out the things you know need to be addressed on a daily basis (e.g. read and respond to emails in the morning, run daily reports, etc.).

Make lists and sort by urgency.
Is there a ton on your to-do list and you’re pretty sure it can’t all be tackled in a single day? Prioritize everything based on urgency to make sure you address the bigger projects that need to be tended to sooner than later.

Stop multitasking.
Hear us out with this one. Yes, the ability to multitask is often touted as a favorable attribute during the interview process. But, juggling a ton of projects at the same time may not be the most effective way to get them done. Often times it’s better to focus your energies on a single project and see it through to completion — or at least as far as you’re able to take it — before moving on to something else. Stopping mid-task, switching directions, and then going back can cause you to lose your focus and momentum, effectively taking up a lot more time.

Minimize meetings.
Does your company have endless numbers of meetings? Ask yourself if they’re all 100 percent necessary or if you can scale them back and combine some when possible. Regular interruptions can hamper workflow, prolonging the amount of time it takes to get things done. Dialing back the number of meetings you regularly hold lets your employees focus on pressing assignments.

Implement a professional service.
Solutions like the ones we provide are a more official means to increase productivity in the workplace. With functionality like GPS Tracking, workers can be held more accountable for their behavior while on the clock. They need to be where they say they are, and there’s no question about the time it takes to get from point A to point B — and whether they took the most efficient route. Wireless Forms allows them to collect important information, including photos and signatures, much quicker than traditional paper forms, so they can proceed on to the next job sooner than before. Plus, the back office receives all the information almost instantly, giving them a chance to process way ahead of schedule. And with Mobile Timekeeping, your crew can clock in no matter where they are, so instead of wasting time going into the office when they don’t need to, they can immediately start the day by focusing on their responsibilities.

As you can see, with just a few adjustments that are easy enough to implement, you can transform your already successful business into an efficiency machine.

New Year’s Resolution for Your Workforce

If there’s anything that can be said about the year’s end, it’s that December 31 is almost indisputably the biggest party night of the year. One needs to look no further than the hordes of people that flock to New York City’s Times Square (roughly one million were anticipated for the close of 2018) to watch a shimmering crystal ball descend a pole perched atop One Times Square. Others, looking for (slightly) smaller crowds, gather at bars and clubs. For those really averse to the throngs of partygoers that are unavoidable at public New Year’s Eve celebrations, house parties are where it’s at.

Regardless of the venue, hundreds of millions of people around the globe devote the last night of each year to celebrating, often times with a smorgasbord of food and stockpile of libations. Many parties last well into the wee hours of the following morning which, in addition to being a deciding factor in many businesses staying closed for the day, also likely plays a hand in another annual tradition: the New Year’s resolution.

It’s no surprise that, after an evening of over-indulgence and debauchery, January 1 is used as the jumping off point for people to pledge to make positive changes in their lives. (“New year, new me,” as the popular phrase goes.)

Resolutions can be tough for people to stick with for the long haul. It’s not always easy to make major changes, and many times they’re simply abandoned after just a few weeks. But, if you’re a business owner who’s looking to ring in the New Year by introducing new ways to help bolster your bottom line, implementation of our software is a simple, cost-effective way to get started.

Wireless Forms let you digitize even the most complicated of paper forms, eliminating the need for costly hard copies and reducing the amount of time they take to fill out. Plus, your workers have no reason to take precious time out of their work days to shuffle back and forth from the field to the office so paperwork can be filed. Instead, they can take on additional jobs with all that time saved.

With employees less tethered to the home office, our Mobile Timekeeping functionality allows them to punch in from anywhere. Plus, not only can you accurately track their hours, you can make sure they’re where they should be when they punch in (e.g. at a job site). This way, if an employee is running late (or attempting to be deceptive) you know without a shadow of a doubt, letting you adjust their pay accordingly and take any action that may be necessary. (Long story short: It keeps your staff honest and holds them accountable.)

Job Dispatching is a means to disperse new work orders that come in during the day. But it’s not merely an assignment tool; it lets you choose the right person for the job, based on factors like current workload and proximity. This way, your staff is able to visit more customers each day, while also reducing the amount of fuel consumed traveling between job sites.

Speaking of fuel consumption, have you ever wanted assurances that your drivers are doing everything they can to treat fuel as the precious, costly commodity that it is? We can help with that, too. Track driver behavior for things like hard braking and quick accelerating, excessive idling, and routes taken to make sure they’re following best practices to use as little fuel as possible.

These are just four ways that our solutions can help you keep your business-forward resolution this year. We take care of all the hard work, meaning this is one resolution you’ll have no problem keeping up with. You’ll reap all the rewards with minimal effort on your part.

Holiday Travel and Fleet Tracking

As we discussed recently, Thanksgiving is the holiday that ushers in the unofficial start to the end-of-year holiday travel season. And it’s no secret that, particularly during this exceptionally busy travel season, you can expect to pay a premium when it comes to air transportation. This year, travelers can expect to pay nearly $400 for domestic round-trip airfare, a pretty steep price to pay (especially this time of year) when budgets are stretched thin by the spirit of giving.

So it should come as no surprise that many travelers choose to seek out alternative modes of travel during the winter months, all in the name of saving money. (Not to mention, for relatively local travel, it can be a time-saver and it alleviates you of the added stress of dealing with airports when crowds are at their worst.)

Because of this, bus travel has seen a resurgence in popularity in recent years. With new, growing numbers of passengers taking to the road instead of the air, the industry quickly realized it had to adapt to a wide variety of travel preferences. This resulted in a whole slew of enhancements being made, including the addition of amenities like Wi-Fi, on-screen entertainment, satellite radio, and even meals served. Travelers can now even choose between ultra-affordable, middle-of-the-road, and luxury buses.

What does all of this mean for you, as a transportation provider? Passengers have come to expect a lot more, and they want you to deliver. Just like the airlines some now use as a backup plan, they want to know that their bus will pick them up, depart, and arrive at the intended destination on time.

Our solution means that you can keep track of every bus in your fleet, so you know exactly where each vehicle is, in near real-time. Because of the flexibility of our software and its ability to integrate with other programs, you can feed this information into tools that then relay it to your customers, keeping them as up-to-date as possible.

Additionally, during a time when congestion on the roads (particularly highways) can be at peak levels, we can help you relay alternative route suggestions to drivers that can allow them to bypass as much as possible. You’ll save on the expense from gas wasted while needlessly idling in potentially avoidable traffic and keep all those eager travelers appeased. (Trust us. Even as passengers, anxiety while stuck in bumper-to-bumper traffic is a real thing.)

Driver safety is another factor that directly impacts both your bottom line and customer satisfaction. With our tracking devices, you can keep a record of your driver’s behavior, including speeding, hard accelerating, and hard braking. Speeding puts your driver, your fleet, and your customers at risk, which can then lead to major expenses, whether from a damaged reputation or (worse) actual injuries suffered. Hard acceleration is a great way to waste gas. And hard braking is dangerous and makes your passengers uncomfortable.

If you haven’t implemented any vehicle tracking into your fleet before now, you’re doing yourself, your company, and your customers a great disservice. We can help you deliver a tremendous experience while also putting money back into your pocket. And there’s no better time to take your company to the next level than right now, as we approach one of the biggest travel times of the year.

You’ll thank us. And then your customers will thank you.
