The Inefficiencies of Paper Forms

Companies in the 21st century are increasingly in need of new ways to raise their efficiency levels. As a paradigm of easier, smarter workflows has begun to take shape in the business world, there’s also been an uptick in demand for solutions that can effectively align simplicity with high productivity.

At Actsoft, we’ve responded to this new trend by engineering some of the most versatile business applications available. Our solutions are effective at helping you identify and refine any existing practices your company might have that aren’t fully optimized for efficiency, such as the usage of traditional paper forms.

For many firms, one of their most suspect points of inefficiency remains the resources they expend annually on paper alone. In addition to being incredibly costly from a yearly perspective, paperwork can also be easily lost, illegible, and impractical to ship far distances. With our Wireless Forms solution, however, you can remove paper from your organization’s operations altogether, making any detrimental byproducts of keeping and circulating physical documents a thing of the past.

Digital documents are more secure, transferrable nearly instantly, and perfectly compatible with the mobile workforces of today. They’re also more intuitive, and customizable to the specific needs of your company.

Our Wireless Forms tool allows remote employees to unlock the full power of their mobile devices while they’re filling out documents in the field. Workers can use its features to capture and attach photos, acquire signatures via touchscreen, and even send back audio recordings within wireless documents to their business’s headquarters. Through a fully customizable form template builder on the web, you’ll be able to handcraft your organization’s wireless forms with ease, so that your team can access and complete them while away from the office.

Actsoft will continue paving roads into the future of business efficiency, with our Wireless Forms solution leading the way. Give your mobile employees a simpler, faster way to send information, and experience savings as a result.

Natural Wonders: 5 Perfect Places for Hiking

The ability to track your drivers’ behaviors is tantamount to money in your pocket. When you make sure that the people responsible for taking your fleet on the road are practicing stellar driving habits — like minimizing unnecessary vehicle idling times, keeping a steady pace instead of burning fuel by speeding, and curbing that tendency to slam on the brakes needlessly — you drastically cut back on fuel consumption.

Studies have shown that just cutting down on aggressive driving alone can save you anywhere from 10 to 40 percent on fuel. Whether fuel prices are sky high or at record lows, any amount back into your pocket is money you can then invest into your business.

And let’s not make light of the safety benefits that also come from having safe drivers behind the wheel. Knowing that you have a team on the road following the rules gives you peace of mind that their risk of costly accidents is also diminished.

At Actsoft, we help give you that peace of mind and help put extra money back in your pockets. Tracking your fleet through our software means that you know exactly where your drivers are, their routes, whether they’ve been idling excessively, if they’ve been speeding, and if they have a habit of hard braking or quick starting, among other habits.

It’s all a part of helping you do your part to go green, while simultaneously being able to cut costs. So, in a continuation of our Natural Wonders series, to celebrate the cost-saving that also benefits the environment, this week we’re going to explore the best places to get outside and take a hike.

Shenandoah National Park, Virginia

With roughly 200,000 acres of protected land, hiking abounds in this treasured parkland. Here, you’ll find more than 500 miles of trails, along which you may spot any number of wild animals, including more than 200 species of birds, mammals, reptiles, amphibians, and fish, plus countless insects and spiders. Don’t miss a chance to hike a part of the Appalachian Trail; 105 miles of the famed 2,180-mile-long path is located right here.

Great Smoky Mountains National Park, Tennessee and North Carolina

Spanning the border between Tennessee and North Carolina, the sprawling park stretches an astounding 522,000 acres. As one of the largest protected parcels of land in the country, myriad animal species call the grounds home, including the American Black Bear, the park’s unofficial mascot. There are some 1,500 of these bears in the park, making it the largest protected bear habitat in the East. Choose from more than 150 official trails, and be sure to take part in the “Hike the Smokies” challenge; just log your excursions and earn pins incrementally as you surpass 100 miles of hiking.

Red Rock Canyon National Conservation Area, Nevada

Just 15 miles from the glitz and glam of always-awake Las Vegas are nearly 200,000 protected desert acres itching to be explored. There are 26 official hiking trails that allow you to take a look at all the desert world has to offer. Keep an eye out for wild burros, desert bighorn sheep, and even red-spotted toads (after a rare rainstorm). Plus, depending on the time of year, it’s actually possible to spot waterfalls, even in the desert. (Lost Creek, Ice Box Canyon, and First Creek Canyon are three trails where you may find one.)

Acadia National Park, Maine

The oldest national park in the eastern U.S., Acadia’s 49,000 acres span most of Maine’s Mount Desert Island, as well as some of the smaller surrounding islands. The coastal park is home to a plethora of wildlife, including gray seals, snowshoe hares, minks, coyotes, and golden eagles. Hiking trails abound, but you’re in Maine, arguably one of the most picturesque coastal states, so stick to one of the six official coastal trails. The Gorham Mountain Loop is 3.5 miles and features a 525-foot mountain that’s the perfect spot to catch a stunning sunrise.

Central Park, New York City

Yes, really! Who’s to say great hiking has to be completely immersed in acre upon acre of unadulterated wilderness? Smack dab in the center of the concrete jungle that is New York City, Central Park is a green oasis that spans nearly 850 acres and is jam-packed with trails that are manageable for just about anyone. Trails wend through all sections of the park; while it’s easy to forget for a moment that you’re in the middle of a major metropolis, one glance up at the towering skyscrapers that surround the park will snap you back to reality.

The Versatile Solutions of GPS Technology

The creation of a Global Positioning System (GPS) has brought extra convenience and powerful business applications alike into the lives of modern-day people. Things such as locating lost equipment, estimating lengths of travel, and even visiting unfamiliar places have become so much easier to accomplish through the concept of GPS, and the system’s versatility makes it one of the most impressive resources available in the digital age.

How does GPS work?

The GPS network is comprised of multiple satellites that are kept in perpetual orbit around Earth, and each one of these satellites transmits information to GPS receivers on Earth’s surface. This data is then used to calculate the positions of receivers in near real-time by comparing the time a signal was transmitted from a satellite to the time it was collected. A difference in time elapsed gives the receiving device an accurate perception of how far away the satellite it originally accepted the ping from is, allowing for precise locations on a digital map to be plotted.

Actsoft’s solutions

Many of our applications use GPS in order to let businesses see the near real-time locations and activities of their mobile workforces. In doing this, Actsoft’s tracking software can help to increase the efficiency of company operations, while lowering costs for an organization at the same time. Valuable equipment and assets that are scattered in the field, away from corporate headquarters are able to be constantly monitored for security purposes, and any speeds of business vehicle travel can also be recorded, all using the tandem of our products and GPS satellites. Once given comprehensive reports on the driving behaviors of remote workers, businesses can then use that information to implement strategies for reduced fleet wear-and-tear, saved fuel, and better time management.

Using the power of GPS, Actsoft has engineered intelligent business tools for better, faster mobile operations. Let us help your company reach new heights of efficiency today by providing your team with our sophisticated, yet user-friendly spatial analytics solutions.

Natural Wonders: 5 of the World’s Coolest Caves

We’re on a mission to save the world from waste. What kind of waste, you ask? Wasted time, wasted money, and wasted resources. As you know, when you’re running a business, the name of the game is to be as successful as possible. What determines that success? At the end of the day, delivering a stellar product with a loyal customer base, no matter what that product may be, is a huge part of the game. But any good businessperson knows that behind the scenes, efficiency is a key component to delivering that product. This means that properly managing your time and resources, while still delivering your product as promised, is essential to also keeping your business profitable.

Helping your business to decrease its waste output is one of Actsoft’s major goals in the delivery of our product. We strive to help your business make the most of its employees, time, and resources, to reduce unnecessary expenditures while maximizing profitability. In addition to profits, one side effect that comes with the implementation of our software is actual physical waste reduction.

Take our GPS Tracking feature. When you have a fleet of vehicles, it’s imperative that your drivers all adhere to the same principle: drive the most efficient route possible, always, without exception. Navigating along unnecessarily long routes is tantamount to throwing money away. And the negative impact of needlessly burning excessive fuel in the process is horrible for the environment. Our software helps you keep your drivers on the road to efficiency and, in the process, you’re playing a part in preserving our planet’s natural resources.

In a continuation of our celebration of the amazing natural wonders of the world, this week we’re taking a look at incredible caves from near and far. These fascinating destinations are prime spots for aspiring spelunkers to explore and discover a whole different world. Here, five of our favorites.

Waitomo Glowworm Caves, Otorohanga, New Zealand
Located about halfway up New Zealand’s North Island, a bit inland from the western coast, are these caves that, while impressive in their own right, are made that much more spectacular by their inhabitants. Dangling from the roofs of these caves are thousands of bioluminescent glowworms, casting an eerie-yet-serene bluish glow on the waters below. Book a 45-minute boat ride along the underground Waitomo River for the opportunity to see these fantastic creatures for yourself.

Cave of Crystals, Chihuahua, Mexico
Superman’s Fortress of Solitude has nothing on this surreal cave in north-central Mexico. Not open to visitors due to the extreme nature of the ecosystem responsible for the crystals’ growth — think temperatures as hot as 136 degrees F with 99 percent humidity, thanks to an underground magma chamber that lies just below — this place is still more than worthy of a mention. The largest of the behemoth crystals, which have been growing for tens of thousands of years, stretches nearly 40 feet in length and weighs some 55 tons.

Caverns of Sonora, Sutton County, Texas
Dress accordingly if you’re gearing up for one of the two-hour tours through this central Texas cave. Temperatures inside may only average 72 degrees F, but with 98 percent humidity, it’ll feel a lot hotter. But as you wend your way along the roughly two-mile-long guided tour, you’ll soon realize it’s worth the minor discomfort. The caves are covered with myriad calcite crystals, the most unique being rare helictites. These are stalactites that, during early formation, begin to shift their growth to the side rather than straight down, forming odd shapes that resemble fish fins, butterflies, worms, and ribbons. When you’re done exploring the wonders of this cavern, take some time to pan for gemstones on the ranch grounds outside.

Škocjan Caves, Divača, Slovenia
Regarded as one of the most important cave systems in the world, this UNESCO World Heritage Site is the largest known underground canyon and, due to particular conditions, it’s home to a unique ecosystem, making it possible for a mix of Alpine and Mediterranean species to grow side-by-side. Tours of the caves run much more frequently in the summer months, but are available year round.

Lascaux Cave, Dordogne, France
Another member of the UNESCO World Heritage club, the complex passages of this cave system aren’t so much revered for the natural features that have formed throughout the years; rather, it’s the 600 or so parietal wall paintings that date back some 17,000 years. Depicting mostly local creatures, such as aurochs, horses, and deer, as well as native vegetation, these cave paintings provide an important insight into the earlier inhabitants of the surrounding land, though many theories about these people are still cause for much debate. The archaeologically significant site may not be open to tourists, but you can tour an exact replica to get a feel of what it would be like inside the real deal.

Natural Wonders: 5 Refreshing Swimming Holes to Dive Into

As we’ve discussed in the past, it’s our mission to help your business run as smoothly as possible, while also eliminating waste. With the reduction of physical waste, your company can collectively contribute to the betterment of the planet and environment and, in doing so, see better financial returns.

For example, if you have a fleet of vehicles, the last thing you want is for your drivers to be running their trucks with abandon. Idling needlessly burns fuel, thereby chipping away at your bottom line. On top of that, fumes are pumping into the air when they don’t need to be. With our software, you can set up alerts to monitor your drivers’ behaviors and take appropriate action if need be. This way, you’re able to lower your company’s fuel consumption, while also doing your part to lessen your carbon footprint.

To continue our celebration of the natural wonders of the world, this week we’re highlighting the best swimming holes from around the country. These natural bodies of water have a habit of showing up in the most awe-inspiring places, and time and again are served up against spectacular backdrops.

Sliding Rock, Brevard, North Carolina
What better way to kick off your tour of swimming holes than with one that doubles as a waterpark? Just 40 miles southwest of Asheville, this place is less about lazing about in the water all day, and more about a naturally occurring 60-foot-long smooth boulder that doubles as Mother Nature’s waterslide. Visitors patiently wait in line — yes, there is actually a formal queue set up, with on-duty lifeguard — eager to slip across the rock’s slick surface and plunge into an eight-foot-deep pool of frigid water.

Queen’s Bath, Princeville, Kauai, Hawaii
Situated adjacent the ocean, this tide pool — replete with schools of fish and other oceanic critters — is actually a sinkhole that was created when a lava tube collapsed and subsequently filled with water. Queen’s Bath is accessible only after a bit of a hike, part of which includes traversing rocky terrain, so be sure to bring reliable footwear. Year round, this swimming hole is a beautiful and serene excursion, but you’ll want to avoid it in the winter months. From October through May, the surf can be exceptionally severe, making a visit here hazardous.

Homestead Crater, Midway, Utah
Not all watering holes are for cooling off in. This one is located within a 55-foot-tall volcano-shaped cave, formed some 10,000 years ago. The mineral-rich waters below remain consistently heated to a sizzling 90–96 degrees. The manmade entrance into the cave lets you stroll in at ground level, so don’t worry about rappelling down. Once inside, you’re welcome to swim, snorkel, or scuba dive in the sultry waters; you can even sign up for a paddleboard yoga class.

Juniper Springs, Ocala National Forest, Florida
Pack your camping gear for this spring, because it’s located smack dab in the middle of a picture-perfect recreation area, complete with facilities such as restrooms and canoe rentals, so you’ll probably want to book a site and spend a few days here. Hundreds of springs of varying sizes bubble up to form the sprawling swimming hole, surrounded by a canopy of palm and oak trees.

Chena Hot Springs, Fairbanks, Alaska
Another that isn’t going to cool you down, the beauty of this one is that it’s accessible year-round, despite Alaska’s bitter cold winters. The intense concentration of minerals here is said to have healing powers; whether you believe that or not, one indisputable fact is that a dip in the pool is beyond relaxing. Bonus: Stay at the resort for a possible late-night glimpse of the Aurora Borealis, the greatest natural light show on the planet.

Protecting Your Equipment with Innovative Software

For many businesses, the security of high-value equipment is essential to making sure that operations run smoothly on a routine basis. One particular cause for concern, however, is how exactly these important and often costly assets are being kept safe during non-working hours.

While mobile employees are in the field, it’s easy to keep tabs on the equipment they’re using in near real-time with the assistance of an adequate solution. But what happens to the tools a workforce uses once its workers have clocked out for the day? How exactly are these assets being protected against theft, misuse, and damages?

With Actsoft, ensure that your valuable tools are being safely monitored around-the-clock using features of our applications such as Geofences, Alerts, and GPS Tracking. On our solutions’ live view maps, the positions of precious equipment like fleet vehicles and company-owned mobile devices are all plotted and can be checked in near real-time. Geofences are customizable, and designate the boundaries for remote work zones on the live view map. Any time an asset enters or exits these boundaries during specified times, notifications will be sent back to a company’s in-office team, keeping them always informed.

Businesses like Gardner-Watson Decking use Actsoft to monitor the whereabouts of their dispersed equipment on a daily basis. Through effective tracking and strong workforce transparency, they’ve been able to witness significant return on investment.

“We have had a vehicle stolen, and we’ve been able to track it and have the police respond to it within approximately 30 minutes of knowing the truck was stolen,” said Rick Vassallo, chief financial officer and vice president of operations at Gardner-Watson Decking. “We got one hundred percent of our equipment back, minor damage to the vehicle. So, a fifty or sixty thousand-dollar equipped truck is a huge savings.”

Consider letting Actsoft help your business retain and maintain its high-value equipment today. With a vast array of specialized solutions available, we can help you gain peace of mind and greater knowledge regarding the security of your company’s essential assets.

Natural Wonders: 5 Spectacular Waterfalls to See

Here at Actsoft, we’re committed to making sure your business runs as smoothly and efficiently as possible. A large part of how we do that is by helping you to reduce unnecessary waste. In doing this, your company can take on even more business and improve its bottom line. Another side effect of this waste reduction — one that we’re quite proud of — is the environmental benefits that come with it.

For example, consider the act of making the switch from paper to wireless forms. If your company averages 10 job sites per day, and each job site dossier is 10 pages, that’s 100 pages of paper each day, from just one employee. That works out to be 26,000 sheets of paper every single year. Let’s say you have 10 employees, that’s 260,000 sheets of paper each year that you’re no longer wasting needlessly. From an environmental point of view, that’s an estimated 3.2 trees saved each year. This might not sound like much, but it adds up. And yours is just one company. Imagine if every company, big and small, made the same effort to ditch paper forms. The impact would be astounding!

To celebrate our passion for the natural wonders of our world, we wanted to showcase some of our favorite Mother Nature–produced splendors. This week, we’re featuring our favorite, dreamiest waterfalls.

Victoria Falls, Zambia and Zimbabwe
We’d be remiss not to lead with arguably the most well-known falls in the world. One of the Seven Natural Wonders of the World and a UNESCO World Heritage site, this is the largest waterfall on the planet. While views of the falls are spectacular from almost any vantage point along the myriad trails that wend their way alongside the falls, the most unique is from something called The Devil’s Pool. This naturally occurring pool sits on the edge of the falls—yes, you read that right—and during the dry season when the water level drops, the brave can actually plunge into the water right at the cusp of its magnificent drop.

Niagara Falls, New York and Ontario
Stateside, this is the cataract everyone is most familiar with. A collection of three waterfalls—the American Falls, the Bridal Veil Falls, and the Horseshoe Falls—Niagara became the stuff of legends in part to a handful of risk-takers floating over the edge in barrels back in the early 1900s. While that is a thing of the past, the falls are still a spectacular sight to behold. If you’re looking for something super up close and personal, book an excursion on the Maid of the Mist. The scenic boat ride whisks guests into the basin of Horseshoe Falls; you’ll be supplied with a poncho, but plan on getting a bit wet anyway.

Iguazu Falls, Argentina and Brazil
These South American falls are nothing if not a powerful spectacle of sheer magnitude, being comprised of a series of around 275 waterfalls (the number can vary depending on the season), ranging from ferocious beasts to delicately descending flows of water. The average flow of water is a staggering 53,000 cubic feet per second, but at its peak, can soar up to 459,000. It became one of the New Seven Wonders of the World in 2011 and there’s no question why: in addition to the immense display of power from the falls, you may also be treated to sightings of toucans, howler monkeys, capybaras, and even jaguars, among other wildlife.

Angel Falls, Venezuela
The highest-known uninterrupted waterfall on the planet, water traversing Angel Falls plummets a whopping 3,212 feet from a tabletop mountain into the Devil’s Canyon down below, feeding into the Carrao River. Since the falls are located in a remote Venezuelan jungle, a trip to this spot can only be made by air, so the best way to see it is to book a tour.

Havasupai (Havasu) Falls, Grand Canyon, Arizona
At just 100 feet tall, these falls may not be as impressive in size as many of the others found on our list. But the real vision of awe is the dazzlingly blue-green color of the water that cascades over a ledge into an enticingly refreshing, sparkling emerald pool. From there, it continues on to flow into a series of smaller plunge-style pools, beckoning any weary traveler on a hot desert day. If you’re planning to camp around the area, be sure to book reservations well in advance; the falls are located on the Havasupai Indian Reservation, who want to preserve the falls by limiting visitors.

Three Essential Tips for Improving Time Management

Time is the one of the few resources that can’t ever be gained back once it’s been spent.

This statement particularly resonates in the workplace setting, where optimized productivity and the acquisition of true efficiency are essential to success. Because abundant surpluses of wasted time can be detrimental to high motivation, ensuring that your company’s time management skills are adept is vital.

Every single second that passes by is a moment that’s filled with opportunity, and by making the most out of the time you spend in the workplace, you can even gain more out of your leisure time away from the office. It’s a reciprocal relationship, as coming back to work from a vacation recharged and refocused also can assist you with sustaining long-term productivity at work. Here’s three tips that may help you enhance the effectiveness of your time management skills.

Work smarter, not harder.

There’s a fine line between cutting corners and working efficiently. When completing daily tasks during the workday, finding ways to consolidate and multi-task, while also ensuring that each job is being done to a satisfactory level is key. Accessing the right resources from the get-go before completing a project is a surefire way to make sure that your productivity won’t suffer later on, and that your workforce will remain firing on all cylinders. If there’s a way to simplify a task without compromising on the quality of work being done, it’s usually a smart idea to do so.

Schedule accordingly.

While too much rigidity in scheduling can actually become a deterrent to improved time management, crafting a flexible outline of weekly tasks, deadlines, and meetings can help you sharpen your punctuality. This extends beyond the scope of the workplace as well. When planning a vacation, it’s wise to have some concrete, scheduled events on the itinerary, but make sure you don’t overbook. The whole point of a getaway is to relax, and stressing over getting to certain events at every hour of every day can wear thin quick. In short, plan as much as you can ahead of time, but leave some room for the unexpected.

Use tools to help you manage time and improvise better.

Technology has always been centered on making life easier, and as time progresses, our reliance on it continues to increase. With Actsoft’s solutions, your company can truly optimize its productivity, helping you save time, money, and resources. Some of our digital tools like Mobile Timekeeping and Job Dispatching can help you ensure that your mobile employees are maximizing their time while in the field. This tandem of features allows them to clock-in directly from mobile devices and receive updates about new work orders in near real-time. GPS Tracking from Actsoft also provides the ability to monitor remote employees, so you can verify your workers’ respective locations while they’re dispersed at different job sites.

Improved time management is key to optimized margins, a healthy bottom line, and ultimate customer satisfaction. With Actsoft, your workforce can enhance its productivity on an hourly basis, helping you gain the most out of each and every minute that your business is operating.

5 Tips for Improving Your Fleet’s Safety

When you’re the owner of a business with a fleet of vehicles, whether it’s a local delivery service or long-haul trucking, safety is always a primary concern. Safe driving factors in big to your company’s bottom line, including brand reputation. But when your drivers are constantly on the go, how do you keep on top of these practices? Here, five tips to help you do just that.

Perform Regular Maintenance
As we’ve discussed before, consistent maintenance is essential for keeping your fleet, no matter the size, in tip-top shape; it helps you avoid bigger, costlier fixes down the road due to negligence. But that regular checks also keep you and your drivers safer while on the road, by giving you the heads up about any issues before they become too serious. Setting up alerts through our software helps to make sure you don’t miss any of those important, regular appointments. (Bonus: You’re also more likely to save money by keeping your vehicles in the best possible shape.)

Keep Tabs on Driver Behavior
You hire the drivers that seem best suited for the job, but you can’t always be there to make sure they’re constantly delivering peak performances. However, with our fleet monitoring tools, you can keep track of certain behaviors, such as hard braking and accelerating, speeding, and even making sure they’re sticking to preapproved routes. Plus, we offer an ELD solution that keeps drivers in compliance with FMCSA regulations, so you know without a doubt that your drivers are taking the required break times rather than staying on the road for an unsafe length of time.

Incentivize Good Behavior
Sometimes the better incentive is to reward drivers that go above and beyond, rather than just reprimanding those that don’t meet expectations. With driver behavior tracked and logged, it’s easy to set up a reward system for those that regularly hit top marks. This could be in the form of a monetary bonus, extra time off, or even preferential schedules/routes. After all, regularly practicing safe behavior is going to save you money in the long run.

Provide Coaching
Similar to incentivizing drivers who regularly demonstrate stellar driving skills, having detailed reports about the not-so-great behavior of drivers can be used as a learning opportunity. Provide coaching to these drivers and give them a chance to improve based on real feedback from their time on the road. Most people are willing to take the time to improve their skills when given the opportunity.

Reduce Distracted Driving
Our driver-monitoring tools run in the background, without operators being required to actively engage while behind the wheel, so they can just focus on driving. But that doesn’t mean they’re distraction free … from their own devices. We’ve discussed ways to help prevent distracted driving in the past. Encourage your employees to actively avoid these distractions when they should be paying attention to the road. And if self-control is an issue, there are apps to help with that.
